The Receptionist serves as the first point of contact for office occupants, visitors, tenants, vendors, and contractors. The role involves managing the reception desk, handling inquiries, maintaining records, coordinating with security and maintenance teams, and providing administrative support to ensure the efficient operation of the Commercial Society Office.
Key Responsibilities
- Welcome and assist tenants, visitors, clients, vendors, and contractors in a professional manner.
- Answer, screen, and transfer incoming telephone calls and respond to general inquiries.
- Maintain visitor records and coordinate visitor access with the security team.
- Receive, record, and distribute couriers, parcels, and official correspondence.
- Maintain inward and outward registers for documents and courier services.
- Coordinate with the Facility Manager, Society Manager, Security, Housekeeping, and Maintenance teams for day-to-day operations.
- Register and follow up on tenant complaints, service requests, and maintenance issues.
- Assist in issuing work permits, gate passes, and contractor entry approvals as per society procedures.
- Prepare and circulate notices, circulars, and tenant communications.
- Maintain office files, records, and document archives.
- Schedule meetings, maintain calendars, and arrange conference room bookings.
- Monitor office stationery and pantry inventory and raise purchase requisitions when required.
- Perform data entry, filing, scanning, photocopying, and other administrative duties.
- Maintain confidentiality of tenant information and society records.
- Ensure the reception area is clean, organized, and professionally maintained.
- Perform any other administrative responsibilities assigned by the Society Manager or Facility Manager.
Qualification
- Graduate in any discipline (preferred).
- Minimum 2–4 years of experience as a Receptionist, Front Office Executive, or Administrative Assistant.
- Experience in a commercial building, business park, corporate office, or facility management company will be preferred.
Skills Required
- Excellent communication skills in English, Hindi, and the local language.
- Professional appearance and customer-service orientation.
- Good knowledge of Microsoft Office (Word, Excel, Outlook).
- Strong interpersonal, organizational, and multitasking skills.
- Ability to coordinate with multiple stakeholders, including tenants, vendors, contractors, and service providers.
- Basic knowledge of office administration and document management.
Salary
- 20000-25000 per month as per qualifications, and experience.
