Position Overview:

Be a welcoming presence to all that enter and contact the school. Works directly with the office manager assuming clerical and administrative support in order to optimize workflow procedures in the office. Assist the principal and office manager in any tasks necessary to support students, teachers, and administration in providing education that produces Christ-centered world changers. 



Position Responsibilities: 

  • Perform routine clerical and administrative duties: organize files, prepare documents, create spreadsheets, manage databases, answer phone calls and support other staff. 

  • Learn and become proficient in the school SIS, update as needed

  • Support office manager

    • preparing daily announcements

    • prepare lunch count daily

  • Check frequently the levels of office supplies and place appropriate orders with the Purchasing Assistant

  • Oversee attendance for your campus/department.

    • Distribution of Admit to Class & Tardy slips.

    • Preparation and maintenance of Preplanned Absence records.

    • Maintenance of daily attendance records.

    • Keep principal and attendance committee apprised of excessive or questionable tardies and/or absences.

    • Obtain all excuse forms for student absences. 

  • Undertake receptionist duties

    • Greet all students, family members and visitors to VCS and maintain visitor’s sign-in/out log.

    • Direct all incoming calls to appropriate departments.

    • Screen all incoming calls for administration and faculty.

    • Make and take appointments for the Principal.

    • Facilitate communication between VCS families, faculty, and staff via email and voicemail.

    • Give messages/items to students from parents

    • Direct visitors to their appointments

    • Collect and process lunch money, forms, yearbook orders, sport attire orders, etc.

    • Remain at the front desk during school hours to answer phones and control visitor entry into the building or see that coverage is provided. 

 

Other position appropriate duties as deemed necessary by the Principal or Head of School.



Requirements

  • Work experience as a secretary or administrative assistant preferred

  • Familiarity with office organization and optimization techniques

  • Excellent written and verbal communication skills

  • professionalism

  • Proficiency in google suite

  • High school diploma
