Job Summary
Collaborates with the Director of Grants and Programs to support grant-related activities across the pre- and post-award lifecycle, with a focus on proposal preparation and compliance processes. Reviews funding opportunities and prepares components of grant applications, including supporting documentation and required submission materials. Compiles and organizes external reports and maintains tracking of grant deliverables and reporting timelines. Coordinates with program staff and the Finance Department to prepare and document budgets and expenditures during both the application and award periods. Assists in coordinating with Whitman-Walker Health departmental staff to address questions related to grant requirements and deliverables. Participates in external meetings related to grant-funded projects and reporting requirements as appropriate. Provides administrative and technical support for grant compliance activities and documentation.
Primary Essential Duties
- Prepares proposal and application materials in collaboration with the Director of Grants and Programs and relevant program and department staff. Work products include narratives, staffing plans, work plans, spending plans, financial documentation, required assurances and certifications, and other submission materials.
- Reviews technical requirements of funding opportunities, including requests for proposals and funding announcements, to ensure submissions align with applicable statutory, regulatory, administrative, and organizational requirements.
- Assists with preparation of post-award documentation, including programmatic reports and updates, in accordance with funder and organizational policies and procedures.
- Maintains organized pre- and post-award grant files, including documentation tracking, recordkeeping, and archiving in accordance with organizational procedures.
- Tracks grant-funded project activities and deliverables in coordination with supervisors and program staff to support compliance with funding requirements.
- Compiles and maintains organizational information and documentation requested by funding agencies.
- Coordinates with department and program staff to identify and address programmatic questions or issues, and communicates directly with funders when needed.
- Escalates potential issues or compliance concerns to supervisors and assists in ensuring that organizational and funder requirements are addressed appropriately.
- Participates in internal and external meetings related to grant performance, goals, objectives, and other topics of interest to organizational leadership.
- Works with Director of Grants and Programs and relevant program and finance staff following project awards to prepare required post-award documentation and review program goals, objectives, and reporting requirements.
- Supports evaluation and monitoring activities for grant-funded programs, including assisting with data collection, documentation, and coordination with external evaluators when applicable.
- Maintains organizational grant tracking tools.
- Supports the preparation of grant budgets, post-award budgets, and budget modification requests in collaboration with the Director of Grants and Programs and the Whitman-Walker Health Finance Department as needed.
- Tracks reporting deadlines and supports preparation and submission of required programmatic reports, coordinating with program staff and confirming financial reporting completion.
- Supports preparation for grantor site visits, including coordinating materials, documentation, and schedules. Assists in organizing administrative, programmatic, and fiscal information requested by funders.

No direct budget responsibility but supports the budgets of grants.

Knowledge, Skills and Talents Required
- Highly developed oral and written communication skills, including the ability to correspond directly with Board Members, CEO and federal/state government entities.
- Familiarity with healthcare related grant process, especially for federally funded projects and grants.gov generally request for application process.
- Ability to implement training programs related to grant writing and evaluation.
- Demonstrated leadership ability, including proven ability to inform and direct managers and staff from diverse operational backgrounds on matters of grant-related compliance.
- Ability to work independently with minimal supervision.
- Ability to manage time and effort in order to meet strategic objectives.
- Knowledge of principles and processes for providing excellent customer service, both internal and external.
- Knowledge of all applicable WWH policies and procedures.
- Excellent oral and written communication skills.
- Knowledge of healthcare information systems with the ability to adapt to new electronic medical record and population health platforms.
- Analytical skills necessary for the preparation of accurate, concise and comprehensive reports.
- Ability to maintain records and information in an accurate, timely and confidential manner.
- Ability to adapt to changes in the service delivery model, re-prioritizing as necessary.
- Flexibility to work within the organizations’ various locations as necessary.

- A 40-hour work week is a general requirement, with a Monday through Friday schedule being typical. Some early morning, late evening and weekend coverage may be required depending on scheduling requirements and grant deadlines.

Education and Experience Required
- Bachelor’s degree required, preferably in a closely related field.
- Experience in the health care industry or community-based organization preferred.
- Minimum of 4 years prior grant/program monitoring experience required, preferably in a Community Health Center and/or Federally Qualified Health Center (FQHC) setting.
Working Conditions:
Working conditions for this position are normal for an office environment. Individual may be required to work evenings and / or weekends and organization events.
Physical Demands:
- Lifting: No more than 20 lbs. and infrequently.
- Movement: Standing and sitting for long periods.
- Visual: Long periods on computer.
- Concentration: Extended periods of engagement with computer systems where concentration is key to accuracy in data entry. Intermittent periods of engagement with a telephone system to respond to inquiries where concentration is key to task performance.
- Communication: Direct and indirect communication. Written and verbal competence.
