Job Title: Substitute Coordinator

Terms: 7.5 hrs/day; 247 days/year

Position Summary:
The Substitute Coordinator is responsible for the efficient management and coordination of
substitute teaching assignments across the district. This role ensures that qualified substitute
teachers are available and appropriately assigned to cover staff absences, maintaining
continuity in instructional delivery and supporting student achievement. The ideal candidate
demonstrates strong organizational skills, effective communication, and a proactive approach to
staffing logistics.

Key Responsibilities:

• District Management of Time and Attendance
• Manage the daily coordination and placement of substitute teachers for all schools within the district.
• Maintain an up-to-date database of qualified substitute teachers, including certification, background checks, and availability.
• Serve as the primary point of contact for substitute teachers, school administrators, and staff regarding absence coverage.
• Collaborate with school leaders to understand specific staffing needs and ensure substitutes are well-matched to each assignment.
• Monitor and track teacher absences and substitute coverage using district-approved software and systems.
• Coordinate the recruitment, onboarding, and orientation of new substitute teachers incompliance with district policies and state regulations.
• Provide ongoing support, training, and resources to substitutes to ensure effective classroom management and instructional delivery.
• Evaluate substitute teacher performance through feedback from administrators and classroom staff.
• Prepare reports and maintain accurate records related to substitute coverage, absences, and staffing trends.
• Address and resolve any issues or concerns related to substitute placements promptly and professionally.
• Work with Colleges and Universities regarding student teacher placement assignments
• Manage district background checks (Volunteers/Visitors, New Hires, Existing Employees)

Qualifications:

• Associate's or Bachelor's degree in Education, Human Resources, Business Administration, or a related field (preferred).
• Prior experience in school administration, human resources, or staffing coordination (preferred).
• Strong organizational, problem-solving, and multitasking abilities.
• Excellent interpersonal and communication skills.
• Proficiency with scheduling software and Microsoft Office Suite; experience with HRIS or absence management systems (e.g., Frontline/AESOP) is a plus.
• Ability to handle sensitive information with confidentiality and professionalism.
