Overview
The 21st Century Community Learning Centers (21st CCLC) After School Program aims to improve academic achievement, support social-emotional growth, and provide meaningful enrichment opportunities for students. The Grant Management Specialist (GMS) supports this mission by performing a combination of clerical and analytical tasks to ensure compliance with federal and state reporting requirements across six program sites and works closely with district HR and Finance departments. This position reports to the 21st CCLC Program Director.
Responsibilities
Data & Reporting
- Enter and maintain accurate student attendance data across six program sites.
- Analyze data from Skyward and other district systems to support evaluation and program improvement, and prepare reports and visuals that summarize trends for stakeholders and auditors.
- Coordinate and compile data for program planning, implementation and annual reporting, including pulling students test scores and demographic data, and setting up surveys.
- Support continuous improvement efforts by monitoring outcomes and data quality.
Financial & Administrative Support
- Prepare staff timesheets, absence reports, and payroll/personnel forms to ensure accurate funding codes, approvals, and timely HR and payroll processing.
- Submit purchase requisitions and manage purchase orders.
- Manage credit card purchases and reconcile supporting documentation for submission to the district finance department.
- Maintain accurate documentation to meet audit standards, including match contributions, time and effort forms, and other compliance records.
- Maintain site-level inventory of supplies, materials, and technology.
Staff & Team Support
- Train and support staff on data tools (including Skyward, Microsoft Office, Google Drive, and the 21st CCLC data portal).
- Maintain staff records for compliance and reporting.
- Develop and maintain user guides and tools to streamline data collection and entry.
- Participate in short- and long-term planning for program, budget, and staffing.
- Perform other duties and special projects as assigned.
Qualifications
- Bachelor’s degree in a related field (preferred).
- Strong computer proficiency in Microsoft Office and Google Suite (especially Google Sheets); ability to use intermediate spreadsheet functions (e.g., formulas, VLOOKUP); familiarity with Skyward (preferred).
- Familiarity with data management systems.
- Highly organized, self-directed, and quick to learn.
- Strong written, verbal, and technical communication skills.
- Experience supporting adult learners (preferred).
- Experience in budgeting, evaluation, and educational settings (preferred).
- Ability to uphold data accuracy, integrity, and confidentiality.
