ROLE SUMMARY: The Systems Administrator is the point of contact for the successful operations of Wellnest’s electronic health records system (EHRS). Performs clinical data management to ensure production of meaningful and concise reports to assist in Wellnest's day to day operations. This includes maintaining up to date data from various data sources. Acts as the lead project manager and subject matter expert for implementation projects within the scope of the EHRS. ESSENTIAL FUNCTIONS: • Perform clinical data management to ensure production of meaningful and concise reports to assist in clinic’s day to day operations. This includes maintaining up to date data from various clinic’s data sources. • Act as the lead project manager and subject matter expert for implementation projects within the scope of LACGC’s electronic health records system (EHRS) by performing coordination with CMSS vendor, clinic’s outside consultant, senior management and other entities to ensure successful and on-going effectiveness of clinic’s CMSS operations. • Provide issue resolution, system support, and training for proper utilization of clinic systems. • Maintain proper documentations and ensuring compliance to all regulations within the scope of clinical data operations (i.e. HIPAA, Data security and privacy, DMH requirements, etc.) • Provide necessary reporting and updates to management and various committees on the state of clinic’s CMSS • The CMSS lead will supervise his/her supervisee/s which includes (but not limited to) monitoring supervisee’s quality of work, conducting annual employee reviews, attend supervisors trainings, etc. Data Management & Reporting • Ensure clinic’s ability to acquire data from DMH and CMSS vendors. • Develop and provide key reports to various internal clinic entities. • Ensure up to date documentation and inventory of databases and reports • Provide state of CMSS report to Executive Management and the Board. Clinic’s EHR system • Perform project management on implementation and maintenance of systems, modules, forms and reports within the CMSS. This includes but not limited to clinic’s EDI, ePrescribing interface, dashboards, forms, reports, screening tools, MCal verification tool and other mechanism within the CMSS jurisdiction. • Coordinate various implementation/update functions of the EHR system with other teams in the clinic. This will include training to system users. • Maintain completeness of System Development Life Cycle (SDLC) documentations which also includes contact information, due dates and other important information on the EHR system. Issue Resolution • Provide the needed resolution of issues and requests submitted mainly from the ticket system. • Communicate to EHR vendor on issues that the vendor needs to handle. • Utilize Wellnest’s remote assist capability to enhance system users’ support. • Manage Wellnest’s support ticket system Documentation • Maintain various documentation in a systematic manner (both electronic and paper). • Documentation includes signed documents, system documentation which includes subscription info, contacts info, contracts, manuals, workflows, access list, inventory, and policies. CMSS Reporting • Provide bi-monthly state of CMSS report to the Operations Improvement Committee • Provide executive management with issue resolution and de-risk recommendations as required • Assist in providing specific reporting for grants and compliance purposes • Working with other departments, the CMSS Analyst will ensure clinic’s CMSS disaster recovery and business continuity plan are in place and ready to deploy when needed. REQUIRED QUALIFICATIONS: Bachelor’s degree in information technology or related field. Health Information Management System certification preferred. Expertise in Information Technology project management required. CONDITIONS OF EMPLOYMENT: Employee may be asked to pursue additional training when it is determined to be in the best interest of the Company. Employee must have the ability to use a personal vehicle with the required insurance coverage to complete the essential duties of their job and conduct agency business. Employee must maintain a valid California driver’s license and clean driving record that meets Wellnest’s insurance carrier’s criteria for liability coverage. In keeping with Company policy for all employees, the successful applicant must also complete a test for TB, and fingerprint clearance by the Department of Justice. Proof that you will be fully vaccinated against COVID-19 and boosted per eligibility guidelines by your employment start date. Per the CDC and Department of Public Health, individuals are considered fully vaccinated for COVID-19: two weeks or more after they have received the second dose in a 2-dose series (Pfizer-BioNTech or Moderna or vaccine authorized by the World Health Organization), or two weeks or more after they have received a single-dose vaccine (Johnson and Johnson [J&J]/Janssen). The Company will provide exemptions in accordance with applicable law. WORKING CONDITIONS: Employee regularly works in an office environment. Employee may be required to work flexible, evening and/or weekend hours for time-sensitive projects.
