SUMMARY: Provide secretarial and administrative support to the Director of Transportation and the Transportation Department. Maintain accurate accounting records for the department in coordination with the district office accounting. Serve as a liaison between the director, department staff, parents and the public.

SUMMARY: Provide secretarial and administrative support to the Director of Transportation and the
Transportation Department. Maintain accurate accounting records for the department in coordination with
the district office accounting. Serve as a liaison between the director, department staff, parents and the
public.
ESSENTIAL DUTIES AND RESPONSIBILITIES: To perform this job successfully, an individual must be
able to perform each essential duty satisfactorily. The requirements listed below are representative of the

● Manage the time clock system for the department including approving employees’ time clock
entries. Reconciling all cards to match route times, field/athletic trips, meetings, other accumulated
time & any leave taken. Verify job codes used for the time clocked. Create time cards for
substitutes.
● Reconcile daily absences or create absences in the absence management system.
● Perform Accounting duties: prepare bills, create purchase orders in accounting systems and
reconcile credit card statement(s) including collecting receipts and preparing a monthly report sent
to district office.
● Prepare, process, record, maintain, and/or retrieve records and/or files, such as insurance, and/or
department records and files. Maintain confidentiality.
● Act as liaison between administrators, staff, parents, and public and provide customer service by
greeting visitors, responding to inquiries, and/or assisting individuals on the phone or in person.
● Answer phones, take messages, make calls, transfer calls, and/or record messages as required by
administration.
● Type correspondence, organize and enter data, and/or maintain databases, lists, or electronic files
on the computer.
● Operate, troubleshoot, and perform minor repairs on business machines and related office
equipment, as needed.
● Coordinate scheduling for building facilities.
● Order, receive, and/or maintain office and breakroom supplies.
● Assist with coordinating school, district, and/or department projects. Organizing, verifying,
assembling, distributing, and/or collecting materials.
● Assist in preparing state, district, and/or department documentation.
● Manage School Field Trip requests: approve/deny, enter acceptable activity trips in the
transportation programs. Complete billing statements for mileage, time, meals & other expenses
incurred.

● Substitute for bus aides as needed.
● Attend work and arrive in a timely manner.
● Perform other duties as assigned;
EDUCATION AND RELATED WORK EXPERIENCE:
● High school diploma or equivalent
● 1-2 years of experience with computer, office software programs and office procedures
● Experience in bookkeeping and accounting preferred
● Experience in a general office setting preferred
LICENSES/CERTIFICATIONS:
● Criminal background check
● Valid Colorado Driver’s License
● CPR/First Aid certification required within two months of employment
● CPI training required within first 2 months of employment

habits, utilize appropriate safety equipment and report unsafe conditions to the appropriate
administrator
