As the Operations Installation Scheduler/ Administrative Assistant, you are central to a successful installation experience for our customers. Working collaboratively with cross-functional teams in sales, operations, and customer service, you will plan, schedule, and coordinate installation appointments effectively using available resources. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively with customers, installation teams, and others. What You’ll Do

  • Schedule and coordinate installation appointments for customers, ensuring optimal efficiency.
  • Communicate with customers to confirm installation dates, provide updates, and address any scheduling concerns.
  • Assign installation jobs to technicians based on availability, skill set, and location
  • Collaborate with sales, operations, and customer service teams to ensure seamless execution of installations
  • Maintain and update scheduling software, tracking work progress and technician availability
  • Address last-minute changes, reschedules, and unforeseen delays while maintaining customer satisfaction
  • Ensure all necessary permits, materials, and paperwork are in place before installation
  • Monitor and report on installation performance metrics and efficiency
  • Provide administrative support, including data entry and documentation management

What We’re Looking For

  • At least 3 years of scheduling experience and/or training
  • Strong organizational skills: essential for managing schedules and coordinating multiple tasks
  • Excellent communication skills: ability to communicate effectively with customers, installation teams, and other stakeholders
  • Attention to detail: important for ensuring accuracy in scheduling and record-keeping
  • Problem-solving skills: ability to identify and resolve scheduling issues
  • Proficiency in scheduling software or systems; Salesforce software experience a plus
  • Customer service skills: ability to handle customer inquiries and resolve issues
