We are currently seeking an experienced Visa Processing Manager to join our growing team. The ideal candidate will have extensive hands-on experience in processing work permit visas for multiple Schengen countries and a thorough understanding of European immigration procedures.
Position Summary
The Visa Processing Manager will be responsible for managing the complete visa processing lifecycle for employment-based immigration to Schengen countries. This includes coordinating work permit documentation, monitoring embassy and visa application center appointment availability, guiding applicants through every stage of the process, ensuring compliance with country-specific requirements, and maintaining high standards of accuracy and efficiency.
The successful candidate must be proactive, detail-oriented, highly organized, and capable of managing multiple visa applications simultaneously while delivering excellent service to both clients and internal teams.
Key Responsibilities
· Manage end-to-end processing of employment visas and work permit applications for multiple Schengen countries.
· Demonstrate extensive knowledge of work permit procedures, visa documentation, eligibility requirements, and immigration regulations across different European countries.
· Continuously monitor visa application centers, embassy portals, and appointment systems for appointment availability.
· Book visa appointments to ensure timely processing.
· Keep track of changing immigration regulations, embassy requirements, documentation standards, and appointment procedures.
· Guide applicants through every stage of the visa process, explaining documentation requirements, timelines, interview preparation, and compliance obligations.
· Review and verify application documents to ensure accuracy and completeness before submission.
· Coordinate with employers, recruitment teams, overseas partners, and immigration authorities to facilitate smooth processing.
· Follow up on pending applications and provide regular status updates to applicants and management.
· Resolve documentation issues, processing delays, and applicant queries professionally and efficiently.
· Maintain accurate records and ensure all case files are updated in accordance with company procedures.
· Ensure strict compliance with immigration laws, embassy guidelines, and internal quality standards.
· Identify process improvements to enhance efficiency, turnaround times, and client satisfaction.
Required Qualifications
· Bachelor’s degree or equivalent professional qualification.
· Minimum 3-5 years of experience in visa processing or immigration consultancy (more experience is preferred).
· Strong professional network and industry connections with visa application centers, immigration professionals, recruitment partners, and other relevant stakeholders to facilitate efficient coordination and stay informed about appointment availability and procedural updates.
· Proven experience handling employment visas and work permits for multiple Schengen countries.
· Strong understanding of European immigration regulations and visa documentation requirements.
· Demonstrated experience managing embassy and visa appointment scheduling.
· Excellent knowledge of visa application portals and appointment booking systems.
· Strong organizational and documentation management skills.
· Ability to manage multiple cases simultaneously while meeting deadlines.
· Excellent communication and client relationship management skills.
· High attention to detail and commitment to accuracy.
· Proficiency in Microsoft Office and case management systems.
Preferred ExperienceCandidates with direct experience processing work permits and employment visas for European countries.
