Role overview
Hodophile Travels is looking for an experienced Visa Operations Specialist / Lead to manage and strengthen our visa vertical from our office at Bhikhaji Cama Place, New Delhi. This is a mid to senior-level position and requires prior, hands-on experience handling visa files across multiple countries and visa types (not just 1–2 destinations).
Please note that prior knowledge & hands-on experience of visas and good communication skills are a must for this. We are also not looking for an experienced candidate, citing budget constraints. Request you to please be mindful before applying :)
Key responsibilities
- Own end-to-end visa processing for a broad set of destinations: Schengen Europe, UK, US, Canada, Japan, China, Singapore, ANZ, key African destinations and others as needed.
- Work confidently across different visa formats – paper/sticker visas, e-visas, ETAs and interview-based visas – including appointment booking, biometrics guidance, and interview prep.
- Assess each case holistically, review and verify all documents (financials, employment/business proofs, travel history, sponsorships, ties to home country) and flag/document risks or gaps early.
- Accurately complete and submit online/offline application forms, upload documents, manage VAC/embassy appointments, track status, and send clear, timely updates to clients.
- Interpret and apply country-specific visa rules, FAQs, and checklists from embassy and VAC websites; update internal checklists/templates whenever rules change.
- Liaise with embassies, consulates, visa application centres, and partner agencies to resolve queries, handle additional document requests, and manage time-sensitive cases.
- Maintain structured records of all applications, fees, communication, and outcomes; contribute to building SOPs and best practices for the visa team.
- Mentor junior team members (as the team grows) on documentation standards, communication quality, and country-specific nuances.
Who will be a good fit?
- 3–5 years of proven experience in visa operations with a travel agency, visa consultancy, or immigration firm, handling multiple countries and categories.
- Strong working knowledge of embassy/VAC protocols, documentation patterns, and typical risk/red-flag scenarios for major destinations (Schengen, UK, US, Canada, etc.).
- Excellent research skills and comfort navigating embassy, consulate, and government portals to find the latest rules, forms, and updates.
- High level of common sense, ownership, and problem-solving; able to independently take a file from enquiry to final decision with minimal supervision.
- Exceptional attention to detail and accuracy when dealing with dates, names, forms, and financial documents.
- Strong written and verbal communication skills (English and Hindi) to explain complex requirements simply, draft cover letters, and handle sensitive discussions around refusals or delays.
- Empathy and patience to handle first-time travellers, students, families, and senior citizens while maintaining a professional, reassuring tone.
- Comfortable working with Google Workspace/Office tools, online forms, and internal trackers/CRMs.
