Role: Part-Time Virtual Assistant (20 hrs/week)

Location: Remote

We are a growing career coaching business seeking a detail-oriented Virtual Assistant to support client interactions and operational tasks. In this role, you will assist with client engagement, LinkedIn lead generation, onboarding, and various operational activities to ensure a smooth workflow for our clients and team. This role may evolve to include additional responsibilities as the business grows, so we are looking for someone who is proactive, adaptable, and willing to go above and beyond to ensure the business runs smoothly.


Key Responsibilities


  • Client Engagement & Operations Support

Welcome New Call-Bookers: Send personalized welcome messages to those booking calls

Engage LinkedIn Leads: Nurture LinkedIn leads, moving them toward scheduling calls


  • Client Onboarding:

Send welcome emails

Create and organize Google Drive folders for new clients

Share clarity forms

Introduce clients on Slack


  • Follow-Up After Sales Calls: Send tailored follow-up emails with:

Recommendation letters

Past work samples

Video links

Correct payment links (installment or full)

Correct contract (installment or full)


  • Manage No-Shows & Cancellations: Follow up to reschedule calls and keep clients engaged


  • Encourage Office Hour Attendance: Manage weekly reminders for office hours and boost attendance


  • Boost Client Engagement: Share LinkedIn content in Slack to inspire interaction


  • Email & Calendar Management: Handle client inquiries, schedule appointments, and manage calendar


  • CRM & Dashboard Management:

Oversee Monday.com dashboards

Integrate Calendly via Zapier

Track client stages and time-to-close


  • Optimize Call Booking: Assist with improving and setting up call booking forms. 


  • Availability Requirements: Minimum commitment of 20 hours per week. Must be available and responsive between 9:00 AM and 5:00 PM US Eastern Time


Preferred Skills


  • Experience with Kajabi: Knowledge of creating landing pages and basic course setup


  • Proficiency with Tools: Familiarity with Zapier, Calendly, and Monday.com


  • Strong Communication Skills: Ability to engage with clients professionally and effectively


  • Client-Focused Approach: Demonstrates empathy and attentiveness to clients’ needs and concerns
