Essential Duties and Responsibilities:
• Maintain and update the Bonafide serialized equipment order dashboard, ensuring real-time accuracy.
• Compare dashboard data with Tableau reports (e.g., “Accessible Inventory by RT”) to identify genuine equipment needs and discrepancies.
• Proactively contact Respiratory Therapists (RTs) with pending Bonafide orders who maintain excess serialized inventory, facilitating redistribution.
• Monitor the REC Manifest for delayed shipments (>10 days), follow up with RTs and O2 drivers, track deliveries to central locations (e.g., Luke Street), and resolve missing/delayed equipment issues in coordination with warehouse staff.
• Receive and process returned serialized equipment still attached to patients in Bonafide; research serial numbers, verify status/ownership, coordinate RT transfers to REC, and ensure proper removal from patient records.
• Identify high-demand areas for serialized equipment, locate excess inventory, coordinate shipments between staff/RTs/drivers, and track/record shipping details (including creating FedEx labels and scheduling pickups).
• Assist team members in locating serialized equipment in the field for redistribution to other staff, home offices, or high-need areas.
• Build and distribute daily Vent and Oxygen summary reports, highlighting on-hand availability in the field, uploads, REC receipts, returns to central location, and true deployable units (after excluding unavailable assets).
• Prepare and email daily back-order reports to clinical teams, incorporating current data on delayed items.
• Develop and distribute weekly excessive oxygen and ventilator reports; verify inventory across RTs and drivers, notify individuals of tracked excess, and manage follow-up communications (process spans 2–3 days weekly).
• Reconcile daily REC vents/oxygen receipts against field pickup reports (e.g., Blaine’s report or Tableau “Inventory Par Report”).
• Track and report field equipment issues to upper management (daily monitoring, with potential weekly summary emails).
• Provide full in-home Respiratory Therapy services to an assigned caseload (e.g., 4 ventilator patients), including setup, quarterly follow-ups, supply ordering, compliance monitoring, after-hours on-call for emergencies, and ensuring accounts remain current to avoid insurance billing holds.
• Attend daily morning inventory team meetings and weekly meetings with inventory team and clinical directors.
• Respond to Teams chats and inquiries from clinical managers, RTs, and drivers; post updates on clinical inventory channels for equipment finds and follow-ups.
• Process inventory ticketing system assignments, including label creation, pickup scheduling, and ticket resolution.
• Participate in new hire training meetings and support RT training program improvements related to inventory processes.
• Maintain active Respiratory Therapist licensure in required states (e.g., TN, GA, VA), including completion of continuing education units (CEUs) and compliance with state requirements.
• Perform other duties as assigned, including ad-hoc equipment troubleshooting support, coordination with clinical staff, and contributions to regulatory compliance.
• Adhere to company dress code, maintain a professional appearance, and represent the organization positively.
• Complete annual education/in-service requirements and stay current in respiratory therapy and inventory management practices.
• Maintain strict patient confidentiality in accordance with HIPAA and company policies.
• Exhibit effective written and verbal communication skills; build strong working relationships across clinical, inventory, and management teams.
Minimum Qualifications:
• Valid Respiratory Therapist (RT) license in the state(s) of practice (required).
• Experience in respiratory therapy, home medical equipment (HME), or inventory management in a healthcare setting preferred.
• Familiarity with respiratory equipment (ventilators, oxygen concentrators), patient compliance monitoring, and insurance billing processes.
• Strong analytical skills with proficiency in tools such as Tableau, Bonafide systems, Excel, and reporting dashboards.
• Excellent organizational and multitasking abilities; able to prioritize under pressure and manage time-sensitive tasks.
• Proficient in Microsoft Teams, email communication, and inventory tracking systems.
• Knowledge of common respiratory conditions, equipment function/calibration, and basic health insurance guidelines.
• Ability to communicate clearly with clinical staff, drivers, management, and patients/families.
• Detail-oriented with a focus on accuracy in data reconciliation and reporting.
Preferred Knowledge, Skills and Abilities:
• Experience supporting high-growth or multi-site healthcare environments.
• Demonstrated ability to drive process improvements in inventory and clinical operations.
• Strong problem-solving skills with a focus on data-driven decision making.
You will be expected to work during normal business hours, which are Monday through Friday, generally 8:00 a.m. – 5:00 p.m., with flexibility for varying weekly hours, occasional field work,
patient home visits, and after-hours on-call responsibilities for assigned patients.
