ABOUT THE ROLE
We are a fast-growing C2C tech consulting firm specializing in placing highly skilled IT consultants with Tier-1 vendors and direct clients across the United States. As we scale, we are looking for a detail-oriented Finance & Accounts Coordinator to own our day-to-day financial operations and keep our books clean, transactions documented, and records ready for external CPA review at all times.
This is a critical back-office role that owns the full day-to-day finance and accounts function of the firm. You will process consultant payroll, manage vendor invoicing and collections, record and categorize all financial transactions, and ensure everything is documented and ready for our external CPA to perform final reconciliation and reporting. You are the financial backbone of the firm — the person who makes sure nothing falls through the cracks between transactions and reporting.
KEY RESPONSIBILITIES
Payroll and Consultant Payments
- Collect, verify, and reconcile consultant timesheets against approved vendor or client records before processing — ensure all timesheets are accurate and approved before invoicing or payroll runs begin
- Process biweekly and monthly consultant payments accurately and on time — manage both C2C payments and W2 payroll including tax withholdings, employer contributions, and pay stub generation; coordinate with the HR Coordinator to verify onboarding documentation before processing first payment
- Reconcile consultant pay rates and client bill rates against agreed placement terms for every active engagement — escalate rate mismatches or discrepancies to the Senior Operations Manager immediately; maintain a real-time payroll tracker covering all active payment statuses, upcoming schedules, and W2 payroll records
Invoicing and Collections
- Generate and send accurate invoices to vendors and clients based on approved timesheets and agreed billing schedules; coordinate with the Account Manager on billing disputes, rate discrepancies, and payment resolution as soon as they arise
- Track all outstanding invoices against vendor and client-specific payment terms — Net 30, Net 45, Net 60 — monitor upcoming due dates proactively, follow up within agreed terms, and maintain a detailed accounts receivable tracker with aging invoice monitoring and escalation to leadership for overdue accounts
- Track and record all outgoing vendor payments with full documentation and filing; monitor cash flow expectations based on incoming payment schedules and alert the Senior Operations Manager to any cash flow risks promptly
Bookkeeping and Transaction Documentation
- Record and categorize all daily financial transactions accurately in accounting software or spreadsheets — maintain organized books covering all income, expenses, payroll, and vendor payments with appropriate receipts and supporting documentation
- Perform monthly bank reconciliations and report any discrepancies to the Senior Operations Manager; maintain a clear and organized audit trail for every financial transaction
- Monitor USD to INR exchange rates and their impact on payroll costs and revenue — maintain records of exchange rates applied to each transaction for accurate financial reporting
CPA Support and Financial Reporting
- Prepare and organize all financial records, transaction logs, and supporting documentation for external CPA review monthly and at year-end — ensure books are clean, reconciled, and fully documented before every handover; support the CPA with data requests, clarifications, W2 form preparation, and documentation needed for tax filings and annual reporting
- Maintain monthly summaries of income, expenses, payroll, and outstanding receivables for leadership review; track actual spend against budget and report variances to the Senior Operations Manager proactively
WHAT WE ARE LOOKING FOR
- 3–5 years of experience in finance, accounts, bookkeeping, or payroll coordination — preferably in a US IT staffing or C2C environment — with hands-on experience processing both C2C payments and W2 payroll including tax withholdings, employer contributions, pay stub management, and maintaining organized books for external CPA review
- Strong financial controls and reconciliation discipline — proven ability to reconcile pay rates and bill rates against placement contracts, perform monthly bank reconciliations, and maintain a clean and complete audit trail independently
- Proficient in Microsoft Office Suite — particularly Excel for financial tracking, reporting, and reconciliation; advanced Excel skills including pivot tables and VLOOKUP is a strong advantage; familiarity with accounting software such as QuickBooks, Tally, or Zoho Books is preferred
- Strong attention to detail and documentation discipline — zero tolerance for errors in financial records; ability to maintain full confidentiality of financial data and handle sensitive payment information with discretion at all times
- Good written and verbal communication in English — comfortable coordinating with vendors and clients on payment matters, following up on overdue invoices professionally, and resolving billing disputes without damaging relationships
- Prior experience in a US IT staffing or C2C firm is strongly preferred — familiarity with US billing cycles, net payment terms — Net 30, Net 45, Net 60 — USD to INR exchange tracking, and basic US tax concepts will ensure day-one effectiveness in this role
