Role Overview
We are seeking a detail-oriented and execution-driven US Payroll & Tax Compliance Specialist to manage end-to-end payroll operations and ensure strict adherence to US federal and state regulations. The incumbent will play a critical role in payroll accuracy, statutory compliance, and stakeholder coordination, contributing to a seamless payroll ecosystem.
Key Responsibilities:
Payroll Processing & Operations
- Manage end-to-end US payroll processing (bi-weekly, semi-monthly, and monthly cycles) with high accuracy and timeliness
- Handle multi-EIN payroll operations across multiple entities
- Process payroll inputs including earnings, deductions, benefits, and adjustments
- Validate payroll reports and ensure error-free payroll closure
Tax Compliance & Regulatory Management
- Ensure compliance with US federal, state, and local tax regulations
- Manage multi-state payroll taxation, including new state registrations and compliance tracking
- Handle payroll tax filings and reconciliation processes
- Stay updated with changes in tax laws and proactively implement required updates
Tax Notices & Government Liaison
- Review, analyze, and resolve tax notices from federal and state agencies (IRS, state departments)
- Coordinate with government bodies for notice resolution and compliance clarification
- Maintain documentation and audit trails for all tax-related communications
Vendor & Stakeholder Coordination
- Collaborate with external CPA firms for tax filings, audits, and compliance activities
- Work closely with internal HR, Finance, and Accounting teams to ensure data accuracy
- Support audits and provide payroll-related documentation as required
Payroll Systems & Tools
- Operate payroll systems such as ADP for processing and reporting
- Ensure system data integrity and troubleshoot payroll discrepancies
- Support process improvements and automation initiatives
Garnishments & Deductions
- Manage employee garnishments including child support, levies, and other deductions
- Ensure timely and accurate processing in compliance with legal requirements
Required Skills & Competencies
- Strong understanding of US payroll processes and tax compliance frameworks
- Hands-on experience in ADP payroll systems
- Knowledge of multi-state payroll taxation and compliance
- Experience in handling IRS/state tax notices and resolutions
- Strong analytical and problem-solving skills with attention to detail
- Ability to manage multiple priorities in a deadline-driven environment
- Effective communication skills for cross-functional and external coordination
Preferred Qualifications
- Bachelor’s degree in Commerce, Finance, Accounting, or related field
- Exposure to US payroll audits and compliance reviews
- Experience working with CPA firms or payroll vendors
