Here's a summary of responsibilities:
The USOPC Branded Experiences & Community Engagement team is looking for an energetic, creative, analytical, and data-oriented candidate to help contribute to data-informed strategies that elevate the impact of the Team USA brand and Olympic & Paralympic values through a variety of USOPC events. The Specialist role focuses on leveraging data to enhance the guest, executive, and VIP experiences across a portfolio of tentpole events, including Games-time activations such as Team USA House, Media Summit, and Team USA Week in Washington, DC, as well as key corporate events like the Olympic & Paralympic Assembly, annual service awards banquets, and internal meetings. In close partnership with the Premier Events team, agency partners, and cross-functional stakeholders, this role will also contribute to event operations and logistics, ensuring that data and insights are embedded throughout the end-to-end planning and execution process.
Here’s how you’ll have an impact:
  1. Manage the USOPC event management CRM database (currently Event-Works platform) for both the event team and internal business partners to ensure a user-friendly stakeholder experience and accurate, organized backend data reporting.
    • Work with Premier Event colleagues, business partners, and agencies to build and manage the CRM database and event registration interface to provide a high-quality and easy experience for the registrant, while capturing the necessary logistical fields for proper reporting and event execution on-site.
    • Provide excellent customer service to USOPC stakeholders/guests as they navigate the event registration process, preparation of the event, and onsite touchpoints. Troubleshoot any questions or issues as they arise and respond in a timely manner. 
    • Own and oversee the CRM platform and event registration data including backend build-out, onsite execution (as needed/applicable), and post-event recaps to ensure accuracy and address any discrepancies. This includes working with other event team members or agencies (food & beverage, air travel, ground travel, accommodations, etc.) to ensure their requested data points are captured in each event registration site, where the Specialist and team can then use these data points for planning, reporting, and event execution.
    • Oversee the event credential process (currently in the Event-Works platform). This includes but is not limited to: coordinating with USOPC departments (Brand & Fan Engagement, External Affairs, People & Culture, Sport & Athlete Services, etc.) on credential design, scrubbing of credential data points, printing and organizing of credentials, management of credential supplies and equipment, and the teaching and execution of credential operations to volunteers and staff at on-site event registrations.
    • Enhance the guest experience by piloting and implementing an event app.
  2. Support the planning and execution of a broad range of USOPC events. Assist with the development and implementation of all aspects of events from inception to execution and lead Guest Experience at assigned signature events responsibilities include:
    • Assist and support the team and various USOPC departments with the creation, planning, and implementation of events.
    • Support in the tracking and administration of event budgets in real time.
    • Assist in the Request for Proposals (RFPs) development, including analysis and selection of vendors for the venue, catering, design, AV, transportation, etc. when required according to USOPC policy.
    • For identified/assigned events, serve as Premier Events interface with hotels/venues on room block, catering, design to include look-and-feel and incorporation of activation, AV needs, transportation manifests and schedules, etc.
    • Collaborate with USOPC departments on the look-and-feel and incorporation of activation for their signature events.
    • Assist with inventory management and checkout of supplies and signage.
    • Assist with gifting and apparel at events.
    • Assist with shipping to/from most events.
  3. The Specialist may be involved with the following as it relates to Games-time hospitality, either abroad or domestically: registration, hotel accommodations, catering/food & beverage, transportation, private events, VIK needs, credentialing system, and/or access management.
  4. Deliver exceptional customer service (in person, via phone, and in writing) while being adaptive and anticipatory to department, manager, and business partners’ needs. 
  5. Perform any and all other duties as assigned to support the Branded Events & Community Engagement department and the mission of the USOPC.
Here are the skills and experience you'll need to be effective:
  • Bachelor’s degree or equivalent work experience
  • 3+ years of experience in event registration, hospitality, and supporting the coordination of events and meetings of various sizes and scope
  • Experience with registration software platforms, including invitations, seat assignments and floorplans, and the design and print of guest and attendee credentials required
  • Experience with mobile event application customization solutions, implementation, and utilization preferred
  • Experience managing Senior Executive/VIP clientele and providing white glove service
  • Excellent written, verbal, interpersonal and customer service skills
  • Proven experience working with external creative agencies and partners
  • Demonstrated cross-functional team collaboration with the ability to earn the confidence and support of a wide range of internal and external constituents
  • Exceptional project management skills with a precise attention to detail
  • Strong organizational and time management skills with ability to multi-task
  • Ability to work in a stressful environment while maintaining a positive attitude and calm demeanor
  • Experience writing creative briefs and synthesizing the goals and vision of an event
  • Strong budget management skills with the ability to oversee forecasts, manage vendors, execute contracts and follow organizational policies and procedures

  • Strong proficiency in Microsoft Excel and/or CRM database platforms required

  • Must currently hold or be eligible to obtain a passport

  • Hiring pay range $57,000 - $65,000 per year
  • This Full-Time, Exempt position is intended to work 40 hours per week.
  • Bonus: This position will be eligible for the Annual Incentive Award Program, which has a 10% target. The USOPC may change or eliminate this program at any time at its sole discretion.
