Position Overview:
United Protective Services is seeking a detail-oriented and highly organized Operations Manager to support our Austin branch. This role is heavily focused on administrative operations, ensuring the seamless coordination of scheduling, payroll, compliance, and client support functions. The ideal candidate thrives in a fast-paced environment, excels in process management, and brings a high level of accountability to daily operations.
Key Responsibilities:
- Oversee and manage administrative functions for branch operations
- Coordinate and maintain employee schedules, ensuring proper coverage across all sites
- Review, approve, and audit timekeeping and payroll data for accuracy
- Maintain compliance with company policies, client requirements, and regulatory standards
- Support onboarding processes, including new hire documentation and system setup
- Act as a liaison between field personnel, clients, and leadership to ensure clear communication
- Track and report on operational metrics, including overtime, staffing levels, and performance indicators
- Assist with billing support, invoice verification, and documentation management
- Maintain accurate records within systems such as WinTeam or similar platforms
- Identify opportunities to improve administrative efficiency and implement process improvements
Qualifications:
- 3+ years of experience in operations, administration, or office management (security industry experience preferred)
- Strong organizational and time management skills with the ability to multitask effectively
- High attention to detail and accuracy, particularly in payroll and scheduling
- Proficiency in Microsoft Office (Excel, Word, Outlook); experience with workforce management systems preferred
- Excellent communication and problem-solving skills
- Ability to work independently while supporting a team-oriented environment
Preferred Qualifications:
- Experience in the security, hospitality, or service industry
- Familiarity with scheduling platforms and timekeeping systems
- Experience supporting multi-site operations
