Description

Union Bank is seeking a motivated and detailed-oriented Administrative Officer to provide executive-level support to our President & CEO, Executive Management Team and Board of Directors. The Administrative Officer will also work collaboratively to assist with organizational initiatives, project management, and office support.

Key Responsibilities

  • Board & Executive Support – Organize and manage board meetings, prepare agendas, record minutes, and ensure timely distribution of materials. Coordinate logistical and travel arrangements. 
  • Regulatory Compliance – Ensure adherence to banking regulations, corporate governance policies, and legal requirements.
  • Record Keeping – Maintain corporate records, shareholder correspondence, and compliance documentation.
  • Stakeholder Communication – Serve as a liaison between executives, board members, and regulatory agencies.
  • Project Management – Assist with organizational initiatives, strategic planning, and office administration.
  • Shareholder Relations – Interface with existing shareholders and potential investors.

Requirements

Qualifications

  • Minimum 5+ years of administrative experience, ideally supporting executives.
  • Strong preference for candidates with experience in financial services, particularly in administrative or project management roles.
  • Ability to manage confidential information with sensitivity and professionalism.
  • Knowledge of banking regulations and principles.
  • Proficiency in Microsoft Office Suite (Teams, Outlook, Word, Excel, etc.).
