Location: Atlanta-based preferred. Domestic travel required.

Overview:

The Program Operations Coordinator (POC) assists the designated overdose prevention and response team by providing operational support for the programs and projects. Under the guidance of the direct supervisor, the Program Operations Coordinator is responsible for the support of designated public health programs and projects. In particular, the Program Operations Coordinator will support logistics such as procurement, travel and convenings; efficient, effective and economical management of resources/assets such as materials and equipment, employee onboarding and offboarding and review and reconciliation of programs/projects financial transactions.


The Program Operations Coordinator role will preferably be based in Atlanta, Georgia with ability to travel to conferences, site visits, and other meetings, as needed.


Responsibilities:

1. Supports and improves the operational efficiency and effectiveness of the related programs/projects by improving operations, decreasing turnaround times, streamlining work processes, and working cooperatively with program staff.

2. Coordinates resource management, logistics, procurement, and other relevant operational functions for related projects.

3. Supports the overdose programs team with administration and maintenance of federal compliance procedures and record keeping systems throughout the life cycle of the grant(s).

4. Coordinates support for contract awards; from solicitation, technical evaluation panels, project schedule, designation/funding tracker, liaising with subject matter experts for general communication/resolution to final execution of award.

5. Coordinates and supports administration of related subawards, including systematic and standardized development, renewal and closeout of subawards.

6. Supports staff with identification and procurement of supply and software requests required for programmatic implementation.

7. Supports with monitoring and processing relevant financial transactions related to accounts payable and receivable.

8. Coordinates and supports systematic and standardized use of efficient databases and tracking systems including generating reports for related programs/projects.

9. Liaises with other CDC Foundation departments – including compliance and finance – as the federal program representative for program services functions.

10. Serves as a department-level resource and subject matter expert on ERP systems.

11. Coordinates and supports program and project related convenings, international and domestic travel bookings, and travel reimbursements for team members as well as internal and external stakeholders.

12. Represents the CDC Foundation at meetings with CDC, donors, and other partners, as needed.

13. Participates in and/or supports special projects.


Qualifications:

1. Bachelor’s degree from an accredited college or university with a minimum of 5 years of related professional experience required and focus on business administration preferred.

2. Experience working with federal and state agencies.

3. Experience supporting and coordinating activities related to federal grants management, including executing contracts and grants management services.

4. Highly detail oriented, demonstrates a high degree of initiative and flexibility, able to communicate effectively in a positive and professional manner, able to prioritize activities when under tight deadlines, and possesses analytical skills.

5. Experience working with diverse and remote teams.

6. Strong technical skills including word processing, spreadsheet development and management, and database management.

7. Experience with enterprise resource planning (ERP) systems and software packages used to manage day-to-day business activities such as accounting, procurement, travel, project management, and/or relationship management preferred.

8. Ability to solve problems in a timely and efficient manner.

9. Ability to interact professionally with stakeholders at internal and external meetings.

10. Outstanding interpersonal and teamwork skills; collegial; energetic; and able to develop productive relationships with colleagues, stakeholders, and partners.

11. Ability to handle confidential information in a discreet and professional manner.
