As Manager – Admin Ops, you will be the unsung hero ensuring that our offices run smoothly, our teams have what they need, and our operational spend is optimized. From overseeing travel logistics for a dispersed team to managing the facilities where innovation happens, you will make sure nothing stands in the way of productivity. This role requires a first-principles mindset applied to the everyday mechanics of a company – you'll ask "why" about routine processes and find ways to make them better. If Tesla rethought manufacturing and Apple rethought retail, you'll rethink administrative operations. Your work will create an environment where Ultrahuman's people can focus on their transformative work, knowing that the admin side is handled with excellence and care. Responsibilities: • Travel Management: Oversee all company-related travel arrangements. This includes developing a straightforward travel policy, coordinating flights/hotels/transport for employees (especially as teams visit our UltraFactory or travel between offices), and negotiating corporate rates with airlines, hotels, or agencies. Implement a system for booking and tracking travel that is user-friendly and cost-effective. Ensure traveling employees have a smooth experience, with minimal hassle and clear support if issues arise on the road. • Office Facilities & Operations: Manage Ultrahuman's office facilities (and any other sites like R&D labs or small hubs aside from the main factory). This includes everything from space planning and seating arrangements to overseeing maintenance, security, and cleanliness. If we build new offices or renovate, you'll lead those projects, ensuring they are done on time, within budget, and reflect our culture (e.g., open collaboration spaces, maybe a wellness room given our mission). • Capital & Operational Expenditure Optimization: Take charge of budgeting and controlling admin-related expenses. Track all office-related CapEx and OpEx – from office equipment purchases to monthly utility bills. Analyze spending patterns and identify opportunities to save costs: for example, finding a more cost-effective supplier for office supplies, optimizing energy use in facilities, or consolidating software subscriptions used for admin purposes. Use a first-principles approach to question large expenses: do we need this expenditure? Can we meet the need in a simpler, cheaper way without impacting quality? • Vendor Management: Handle relationships and contracts with various vendors and service providers (catering, cleaning services, office supplies, IT equipment leasing, etc.). Ensure we are getting high quality service at reasonable costs. Regularly review contracts for renegotiation or consolidation. Introduce SLAs for critical services (like network uptime in the office, AC maintenance, etc.) and ensure vendors meet them. • Administrative Support & Processes: Lead any administrative support staff (like front-desk, office managers, or executive assistants if part of ops). Implement processes that improve efficiency: for instance, a centralized system for processing expense reports or purchase requests to ensure quick approvals and transparency. Maintain records and documentation for all admin operations, and prepare reports on admin KPIs (like cost per employee for facilities, travel spend per quarter, etc.) for management review.
