Your role

The Premises Assistant Manager supports the effective delivery of day‑to‑day facilities operations by working closely with third‑party service providers to ensure a safe, efficient, compliant and engaging workplace. The role has a strong operational focus across staff restaurants, transportation services, hospitality, soft services, and general facilities management, while ensuring high service standards, cost control, and a positive employee experience.

Key Responsibilities
Facilities Operations & Service Delivery

Support the day‑to‑day management of facilities operations, ensuring seamless delivery of services across the premises, including staff restaurants, transportation, housekeeping, mailroom, security coordination, and other workplace services

Act as the operational interface with third‑party suppliers, ensuring service delivery aligns with agreed contracts, KPIs, and UBS standards.

Monitor supplier performance, conduct regular service reviews, and proactively address service gaps or operational risks

Vendor & Contract Management

Support contract administration and governance for facilities-related vendors, including catering and transport partners.

Track KPIs, SLAs, and compliance requirements, escalating issues where service delivery or safety standards are at risk.

Assist with cost monitoring, invoice validation, and identification of efficiency or optimization opportunities

Workplace Experience & Employee Engagement

Ensure staff restaurants and transport services deliver a consistently positive employee experience, balancing quality, safety, and cost efficiency.

Support workplace initiatives aimed at improving employee satisfaction, engagement, and well‑being.

Health, Safety & Compliance

Support compliance with local statutory requirements, building safety norms, fire safety, and internal UBS policies.

Promote a strong safety culture across all facilities services and suppliers, ensuring risks are identified and mitigated proactively

Your team

The Premises Assistant Manager reports directly to the Premises Manager and works as part of the local Group Real Estate & Corporate Services (GRESC) Facilities team.

The role does not have direct UBS employees reporting into it, but is responsible for day‑to‑day operational oversight and coordination of on‑site supplier partner teams across multiple facilities disciplines.

The position provides functional guidance and operational direction to supplier‑managed teams delivering the following services:

Soft Services (housekeeping, mailroom, reception support, waste management, etc.) Staff Transportation Services
Staff Restaurants and Catering Operations
Engineering Services (through coordination with technical and maintenance partners)

The role acts as a key on‑site coordinator, ensuring supplier teams work cohesively, adhere to agreed service levels, and align with UBS standards, safety requirements, and workplace experience objectives.

Your expertise

Skills & Experience
Essential

Proven experience in Facilities Management, Administration, or Corporate Services, preferably within a large corporate or financial services environment.

Hands‑on experience managing third‑party service providers, including catering and transportation vendors.
Strong operational coordination, problem‑solving, and stakeholder management skills.

Good written and verbal communication skills, with the ability to interact effectively with vendors and internal stakeholders.

Desirable

Knowledge of workplace safety, compliance, and local regulatory requirements.

Experience working in Special Economic Zones (SEZs) or large multi‑tenant office environments
