Position Overview:
We are seeking a service-driven and detail-oriented Retirement Plan Solutions Participant Services Associate to join our RPS Participant Services team. This role is responsible for delivering caring, responsive, and high-quality service while performing key administrative support functions for our 401(k) participants. Operating within our Participant Services call center, this individual serves as a primary point of contact for participants, assisting with transactions such as withdrawals, distributions, and rollovers.

The RPS Participant Services Associate plays a critical role in ensuring a seamless participant experience and may act as a backup to other Participant Services Representatives as needed to maintain continuity of service.

Key Responsibilities:

  • Participant Support: Provide excellent customer service and assistance to participants inquiring about 401(k) services and requests. Develop and maintain strong participant relationships through responsive and professional communication.
  • Transaction Processing: Process distribution requests, including withdrawals and rollovers, in a timely and accurate manner according to plan documents, internal controls and ERISA guidelines.
  • Service Delivery and Issue Resolution: Provide top-notch assistant and support to participants calling into TCO for assistance with an 401(k) related inquiry.
  • Account Setup: Prepare new account documentation, ensuring accuracy and completeness in accordance with established processes.
  • Client and Plan Sponsor Support: Respond to client and plan sponsor inquiries and assist in resolving administrative issues accurately and efficiently.
  • Relationship Manager Support: Assist Relationship Managers with general administrative duties as assigned, including preparation for client meetings and ongoing service needs.
  • RPS Administration: Assist with various RPS projects to provide streamlined services and increase efficiency within the department.
  • Participant Education Meeting Preparation: Support Relationship Managers with meeting preparation, including gathering materials and ensuring readiness for client interactions.
  • Continuous Improvement: Recommend process enhancements that improve efficiency, accuracy, and the client experience. Share insights and best practices across the team.
  • Other duties as assigned.

 

Education and Experience:

  • High school diploma or equivalent required; associate or bachelor’s degree in business administration or a related field is a plus.
  • Experience and/or knowledge of 401(k) retirement plans is a plus.
  • Skills: Basic computer and software proficiency, with experience in Microsoft Office programs, particularly Microsoft Excel. Strong time management, attention to detail, and organizational skills.
  • Communication: Excellent customer service skills with strong written and verbal communication abilities.

Working Conditions:

  • Work Environment: Office-based in Tulsa, Oklahoma. Occasional travel within the Tulsa market and to Oklahoma City will be required for training or client meetings.
  • Hours: Full-time position with standard business hours. Some flexibility may be required during peak reporting periods.
