About the role

The Facilities Manager will be at the forefront of everything going on in our Head Office in Surbiton providing a great place to work for employees, dealing with all aspects of property management, health and safety and compliance. As a subject expert they will also provide support to our other UK office in Crawley. What you will be doing: Manage Facilities services at the Surbiton site to ensure a safe and optimal working environment for employees and visitors.Maintain a strong relationship with the landlord, handling all lease-related matters including lease contracts, service charge budgets, dilapidations, licences to alter, and rating appeals. Coordinate between internal and external legal teams, obtain necessary approvals from the executive team, and provide clear updates for sign-off.Set and manage annual budgets, ensuring cost control and best value through competitive pricing. Oversee purchase orders and confirm goods receipt for timely supplier payments.Plan and manage office reorganisations and improvements, sharing ideas with the Commercial Director for space optimisation and user experience enhancements.Collaborate with the Environmental team to ensure compliance with ESOS, providing detailed updates and cost-benefit analyses for environmental improvements.Perform minor maintenance tasks, coordinate emergency response training, and hold monthly review meetings with the HR Business Partner.Support other global office contract agreements for Travelopia.Manage office security, including issuing and deleting access passes. What we are looking for: A self-starter with proven experience in a similar role.Experience of dealing with landlords on building issues, rent reviews, dilapidation claims, License to alter, service charges etc.A good communicator able to articulate complex detail in clear and concise manner both verbally and in written form to all levels of the business.NEBOSH or IOSH qualification.Have a good understanding of building systems and fabric including air conditioning, security systems, power, plumbing and all services to the Office.Higher level of I.T skills with the ability to create clear and concise presentations, manipulate data in Excel and provide reporting and complete purchase orders using our online procurement system.Manage complex projects from start to finish for Office refurbishment and churn, complete detailed specifications for contractors and manage tenders for goods and services.Compile annual budgets and track progress through the year reporting any anomalies.Able to complete minor maintenance, changing light bulbs, moving floor boxes etc. Working with us: Competitive salaryVarious employee discounts and offersCareer progression opportunities We believe people are happier and perform best when they are able to be their true self, and that diverse teams deliver better results.
