Traveling Personal & Executive Assistant (Foreign-Based, US B1 Travel)
The role. A trusted personal and executive assistant who travels internationally alongside a principal, ensuring every trip — logistics, schedule, and on-the-ground needs — runs flawlessly. You are employed and based outside the United States and accompany the principal on travel (including to the US under B1 business-visitor status), handling the end-to-end coordination that lets the principal focus entirely on their work and family. This is a high-trust, high-discretion role for someone calm, organized, and unflappable under the demands of constant movement across time zones.
What you'll do
- Travel orchestration. Plan and manage complex multi-city, multi-country itineraries — flights, ground transport, accommodations, visas/documentation, and contingencies — and adapt in real time when plans change.
- On-trip support. Travel with the principal; manage the daily schedule on the ground, handle check-ins, logistics, bookings, and the dozens of small things that make travel seamless.
- Calendar & coordination. Maintain the principal's schedule across time zones; prepare for meetings; coordinate with the home team, household, and external contacts.
- Personal & family logistics. Support family travel needs (the principal travels with family), handling arrangements with care, discretion, and attention to detail.
- Documentation & readiness. Keep travel documents, itineraries, and records organized and current; anticipate what's needed before it's asked for.
- Communication. Serve as a reliable point of contact during travel; keep the principal and home team informed; resolve issues quietly and quickly.

- Exceptionally organized and detail-oriented — nothing slips, even across chaotic travel days.
- Calm, adaptable, and resourceful under pressure; you solve problems on the ground without being told.
- Highly discreet and trustworthy with confidential personal and family matters.
- A natural single-tasker-and-finisher who can also juggle moving parts when travel demands it; high energy and stamina for an irregular, demanding schedule.
- Comfortable with frequent international travel and extended time away from home.
- Service-minded, warm, and professional in dealing with the principal, family, vendors, and contacts.
Requirements
- A valid US B1 (business visitor) visa, with the ability to travel to the US accompanying the principal. (The role is employed and paid outside the US; work is performed in connection with travel, consistent with B1 status — not US employment.)
- Eligibility and willingness to obtain/maintain visas for other frequent destinations as needed.
- Prior experience as a travel coordinator, personal assistant, executive assistant, or in hospitality/concierge/private-travel roles.
- Fluent English; additional languages a plus.
- Flexibility on hours and locations; comfortable with time-zone-spanning, on-call demands while traveling.
- Based in [Gurgaon / India] (foreign-based, traveling with the principal).
