Key Responsibilities
- Transport Operations (Business Travel & Ad-hoc)
- Plan, schedule, book & manage daily business travel transportation PAN India, ‘Rent A Car’ & Ad-hoc transport requirements of Associates, Leaders & CXO’s of the company.
- Ensure timely dispatch and delivery of services by respective transport vendors in each city (Bangalore, Hyderabad & Gurgaon)
- Laise between travel desk, transport vendor and traveler and maintain effective communication of arrangements as per existing process and policy.
- International & Domestic Traveler information to be communicated efficiently to relevant city stakeholders for effective on-site arrangements.
- Vehicle & Fleet Management
- Maintain and monitor fleet records of dispatched vehicles, service schedules, trip sheets & logs as well as monthly company MIS
- Coordinate with service providers for pre-check of vehicle condition and periodic vehicle audits.
- Ensure adherence to vehicle condition, safety standards and regulatory compliance as a pre-check prior vehicles dispatched.
- Vendor & Driver Coordination
- Liaise with transport vendors, drivers, and third-party logistics providers.
- Supervise driver performance, etiquette, and grooming
- Resolve transport-related issues and ensure SLA adherence.
- Compliance & Documentation
- Maintain accurate records for trip sheets, billing, permits, and statutory requirements.
- Ensure compliance with company policies, regulations, and safety norms.
- Prepare transport-related reports for management (daily/weekly/monthly).
- Conduct monthly KPI meetings with all vendors PAN India.
- Cost Management
- Monitor transport expenses including rentals, package rates, tolls, and vendor bills.
- Support in cost optimization initiatives, dispatching and booking of vehicle by efficient rental rate slabs as per city, pooling where required and planning schedules effectively.
- Customer & Stakeholder Management
- Manage and maintain consistent, cordial communication with Executive Assistants, Senior management, CXO’s, obtaining feedback and offering proactive support.
- Address transport-related queries and service requests from internal teams and stakeholders.
- Ensure high standards of service quality and operational efficiency.
Required Skills & Qualifications
- Bachelor’s degree in Transport, logistics, supply chain, business administration, or related field.
- 2–5 years of experience in transport/logistics operations (based on company requirement).
- Strong communication, coordination, and problem-solving skills.
- Proficient in MS Excel, transport management systems (TMS), GPS tracking tools.
- Knowledge of local routes, regulations, and transport compliance norms.
