Role Purpose
The Travel Coordinator will act as the primary point of contact and communication hub for all OKNO biking expeditions and adventure trips.
This role is responsible for planning, coordinating, and managing end-to-end logistics, ensuring seamless communication between riders, vendors, hotels, ride leaders, and internal teams.
The coordinator ensures every expedition runs smoothly from planning stage to trip completion, delivering a safe, organised, and memorable experience for all participants.
Key Responsibilities
• Travel Planning & Coordination
- Plan and coordinate domestic biking expeditions and adventure trips organised by OKNO
- Design detailed trip itineraries including riding routes, pit stops, accommodation, and daily ride schedules
- Manage reporting times, travel timelines, and movement plans for riders and support teams
- Act as the central point of communication for all trip planning and coordination
• Bookings & Vendor Coordination
- Coordinate bookings for hotels, campsites, support vehicles, transport logistics, and activity partners
- Liaise with vendors for pricing, availability, confirmations, and service delivery
- Build and maintain strong relationships with local partners, mechanics, guides, and logistics providers
- Identify and on-board reliable vendors for future expeditions
• Logistics & Documentation
- Prepare and manage expedition-related documents including itineraries, rider lists, room allocations, route plans, and emergency contacts
- Coordinate permits, travel requirements, and necessary documentation for trips
- Ensure all logistical arrangements align with safety standards and operational guidelines
• On-Ground Support & Coordination
- Support on-ground operations during departures, arrivals, and major checkpoints of the expedition
- Coordinate with ride captains, mechanics, support teams, and local partners
- Act as the communication bridge between riders and operations teams during the trip
- Handle unexpected situations such as route changes, weather disruptions, or logistical issues
• Internal Coordination
- Work closely with Marketing, Operations, and Community teams to ensure smooth trip execution
- Provide regular updates to internal stakeholders on trip planning, confirmations, and changes
- Ensure accurate transfer of information to ride leaders and on-ground support teams
• Post-Travel & Reporting
- Collect feedback from riders regarding accommodation, logistics, and overall experience
- Prepare post-expedition reports covering logistics performance and vendor feedback
- Maintain records to improve planning and execution for future expeditions
Skills & Competencies
· Strong planning and organisational abilities

· Ability to manage multiple vendors, timelines, and moving parts simultaneously
· Problem-solving mind set and calmness in dynamic situations
· Attention to detail and operational discipline
Experience & Qualifications
· 2–4 years of experience in travel coordination, expedition planning, or tour operations
· Experience with group travel, biking trips, or adventure expeditions is highly preferred
· Basic proficiency in MS Excel, Google Sheets, and communication tools
· Willingness to travel and support expeditions when required
