Job Description -
The Documentation & Training Manager is responsible for the end-to-end management of project and HW/SW product documentation from various OEMs and compiling it. Coordinate between suppliers and deliver the training programs for the OT cybersecurity implementation across substations and control centres. The role ensures that all technical, operational, and compliance documentation is accurate, standardized, and aligned with contractual requirements, while also enabling effective knowledge transfer and operational readiness through structured training initiatives. The DTM plays a critical role in ensuring long-term maintainability, user adoption, and compliance, by integrating documentation practices with training delivery across the project lifecycle.
Key Responsibilities -
Documentation Strategy & Governance
- Define and implement a documentation framework and governance model aligned with project and contractual requirements.
- Establish standards for document structure, version control, approvals, and lifecycle management.
- Ensure documentation complies with client specifications, regulatory requirements, and audit standards.
Technical Documentation Management
- Oversee preparation and validation of key documents including:
- System architecture and design documents
- Configuration and installation guides
- Standard Operating Procedures (SOPs)
- User manuals and administrative guides
- As-built documentation
- Ensure completeness, consistency, and technical accuracy of all deliverables.
Document Control & Repository Management
- Manage centralized document management systems (DMS) and repositories.
- Implement version control, access control, and traceability mechanisms.
- Ensure timely submission and retrieval of documents as per project milestones.
Training Program Development & Delivery
- Develop and execute training programs for client personnel and operations teams.
- Prepare training materials, presentations, and user guides aligned with deployed systems.
- Conduct training sessions for:
- SOC operators
- IT/OT administrators
- End users (where applicable)
- Ensure training content reflects real-world operational scenarios and system usage.
Knowledge Transfer & Operational Readiness
- Facilitate structured knowledge transfer sessions during project handover.
- Ensure client teams are fully equipped to operate and maintain systems independently.
- Support development of operational handbooks and runbooks.
Compliance, Audit & Reporting
- Ensure documentation and training records meet audit and compliance requirements.
- Maintain records of training sessions, attendance, and certifications (if applicable).
- Support internal and external audits with required documentation and evidence.
Cross-Functional Coordination
- Coordinate with engineering, testing, and project teams to gather inputs.
- Align documentation and training schedules with project milestones.
- Support client interactions related to documentation and training deliverables.
Experience -
- 6–10 years experience in technical documentation, training delivery, or knowledge management.
- Experience in IT, cybersecurity, or infrastructure projects preferred.
- Exposure to regulated or compliance-driven environments is an advantage.
