Job Title
Course Coordinator - Sambodhi Capacity and Learning Institute (SCLI)
Job Summary
Sambodhi Capacity Learning Institute (SCLI) is looking for a proactive and detail-oriented Course Coordinator to manage and execute our live instructor-led, hybrid, and short-term training programs.
The role involves managing end-to-end course operations, especially for programs conducted on weekends (Saturdays and Sundays) and occasionally on Fridays. The working days will be from Saturday to Wednesday.
Essential Functions
The candidate will perform the following key functions:
1. Course Coordination & Execution: Manage end-to-end execution of SCLI courses happening over Saturdays and Sundays, including -
· Live instructor-led sessions
· Short term hybrid (online + offline) courses
· In-person training/immersion sessions
· Coordinate session schedules, calendars, and timelines.
· Ensure smooth delivery of all sessions without operational disruptions.
2. Trainer & Participant Management: Act as the primary point of contact for –
· Trainers/facilitators
· Participants
· Share session details, reminders, and updates with all stakeholders.
· Support trainers with session readiness (presentation sharing, links, materials).
· Address participant queries and provide timely support.
3. Session Management (Live & Hybrid & In-person): Coordinate live sessions on Zoom or for the in-person sessions from the backend end-to-end –
· Session setup and access links
· Attendance tracking
· Recording and storage (in LMS)
· Basic troubleshooting during sessions
· Ensure smooth coordination for hybrid sessions (online + on-ground logistics).
4. LMS & Course Operations
· Upload course materials, assignments, and recordings on LMS.
· Track assignment submissions and participant progress.
· Manage LMS, including content uploads, user access, and course tracking, while ensuring smooth functionality and resolving basic technical issues.
· Manage certifications, backs and course completion processes.
5. Communication & Engagement: Send regular communication including –
· Welcome emails
· Session reminders
· Post session follow-ups
· Maintain active engagement with participants throughout the course
.
6. Feedback & Reporting
· Collect participant feedback after sessions/courses.
· Maintain records of attendance, participation, completion rates.
· Prepare basic reports on course performance and learner engagement.
7. Cross-Team Coordination (Comms, Sales & Finance): Coordinate with the Communications/Social Media team by –
· Sharing session updates, speaker details, and key highlights.
· Ensuring timely promotion of upcoming courses and sessions.
· Work closely with the Sales/Outreach team by sharing course updates, schedules, and participant information.
· Following up with the sales team regarding lead conversion.
· Coordinate with facilitators/trainers to collect invoices post-session/course, review and share facilitator invoices internally for necessary approvals, submit approved invoices to the finance team for processing, follow up with the Finance team in case of delays or pending invoices and maintain proper records of invoices, approvals, and payment timelines.
