About the role
The Document Controller is responsible for the effective management, control, distribution, and archiving of project and corporate documents in accordance with defined document control procedures and standards. The role ensures that accurate, up-to-date information is available to all stakeholders, supporting compliance, audit readiness, and efficient project delivery across engineering and operational teams.
Roles & Responsibilities:
Document Control & Management
• Establish, implement, and maintain document control systems and procedures in line with project and
organisational requirements.
• Receive, register, classify, number, and distribute documents including drawings, reports, correspondence, and
technical records.
• Maintain document registers, metadata, revision history, and status tracking to ensure document integrity and
traceability.
Version Control & Compliance
• Control document revisions, superseded documents, and approval workflows to ensure only the latest approved
versions are in circulation.
• Ensure compliance with internal standards, client requirements, project procedures, and quality management
systems (e.g., ISO-aligned processes).
• Support audits by ensuring records are complete, accurate, and retrievable.
Systems & Tools
• Manage documents using Electronic Document Management Systems (EDMS/DMS) such as Navex, Unanet
• Business Collaborator, SharePoint, Aconex, ProjectWise, or similar platforms will be added advantage.
• Upload, download, and configure document permissions, workflows, and access controls as per project rules.
• Coordinate document transmittals to internal and external stakeholders.
Stakeholder & Project Support
• Interface with engineers, designers, project managers, and external parties to ensure timely document submissions
and approvals.
• Monitor document turnaround times and follow up on overdue reviews or approvals.
• Provide guidance and support to project teams on document control procedures and best practices.
Records & Archiving
• Maintain structured filing systems for both active and archived documents.
• Ensure proper handover of documents at project close-out, including as-built and final documentation sets.
• Manage retention and disposal of documents in accordance with records management policies.
Skills & Experience Expected
• Bachelor’s degree in relevant domain
• 0-2 years of relevant work experience
• Added advantage: Experience with BIM 360/ACC or Business Collaborator/Projectwise
• Strong Communication skills to handle client queries and teamwork skills.
