The Accounts Receivable Specialist plays a key role in supporting our accounting operations through accurate billing, payment processing, account reconciliation, and customer account management. This position is ideal for someone who is highly organized, detail-oriented, and thrives in a fast-paced environment while balancing multiple priorities.
What You’ll Be Doing
- Prepare, review, and send consolidated customer billings
- Manage customer portal sites, including account setup and instructions
- Assist with customer portal invoice entry
- Monitor portal accounts to ensure timely invoice submission and payment processing
- Research and resolve sales tax payment issues
- Complete quarterly AR sales tax clean-up and journal entries
- Research customer credits and resolve account discrepancies
- Prepare customer refund requests
- Manage and review customer credit card payments
- Maintain customer special handling instructions and account records
- Issue W-9 forms as requested
- Providing backup support for lockbox preparation and cash receipt posting
- Assist with credit card preparation and posting
- Complete Profleet/Warranty account clean-up and journal entries
- Assist with end-of-month Raymond reporting (BT-17)
- Setting up new customer accounts
- Send end-of-month AR reports
- Upload PNC lockbox files
- Provide backup support for invoice processing, distribution, and mailing
- Perform additional duties and projects assigned
What You Bring to the Team
- Bachelor’s degree in Accounting or Finance preferred
- 3–5 years of accounting and accounts receivable experience required
- Strong attention to detail and accuracy
- Excellent communication and customer service skills
- Strong organizational and time management abilities
- Ability to multitask and work effectively in a fast-paced environment
- Ability to work independently and collaboratively within a team environment
- Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint
- Experience working with CRM systems preferred
