We are seeking a dependable and detail-oriented Administrative Assistant to join our Jacksonville, Florida office. This role is perfect for someone who may not have extensive office experience but is eager to learn, receptive to feedback, and excited to grow in a supportive, hands-on environment. You’ll work closely with our Office Administrator who believes in not just showing you how to do something—but also why we do it that way.
You’ll receive organized notes, visual guides, and real-time instruction to set you up for success. In addition to everyday administrative tasks, you’ll play a key backup role when the Office Administrator is out, helping maintain essential operations.
Key Responsibilities
· Answer phones and monitor the TBCo Jax general email inbox, directing calls and messages as needed
· Support general office operations, including filing, data entry, and light scheduling
· Assist in invoice processing and lien release requests when the Office Administrator is out
· Learn and document key administrative processes with the help of visual instructions and hands-on guidance
· Keep accurate records and maintain internal documents as directed
· Serve as a reliable point of contact when coverage is needed during short- or longer-term absences
· Stay organized and adaptable to help ensure smooth office workflows
Qualifications
· Strong communication skills, both verbal and written
· Basic comfort with email, phone systems, and Microsoft Office (Word, Excel, Outlook)
· Detail-oriented, organized, and eager to take notes and follow processes
· Receptive to training, open to feedback, and able to work both independently and alongside a team
· Ability to stay attentive during slower periods and remain confident when stepping in for coverage
· A positive, can-do attitude and desire to grow within the organization
