Alumni and Development Associate provides direct and comprehensive administrative support to the Assistant Head for Development including calendar and travel management, meeting scheduling and meeting preparation, support with written and digital correspondence and telephone outreach for engagement, stewardship and donor visits. Digital file management in Google as well as the CRM database and social media support for all of alumni and development accounts. This position interacts with The Peddie School external community including donors and volunteers at all levels. The Alumni and Development Associate will also provide high-level and confidential support to the Director of The Peddie Fund and the Director of Engagement as requested.
This position provides direct executive-level support and offers the opportunity to contribute to the success of a dynamic team, support impactful initiatives, launch entrepreneurial ideas, execute significant stewardship communication efforts and build relationships with a devoted alumni and parent community. Ideal candidates understand the need for confidentiality, are exceptionally strong written and verbal communicators, and are adaptable and resourceful. They will prioritize conflicting needs; ask for clarity with ease, handle matters expeditiously, self-start and follow-through on projects to successful completion maintaining sensitivity to deadline pressures.
Essential Responsibilities
Correspondence and Communication
- Assist with Assistant Head for Development’s correspondence.
- Support stewardship, fundraising and engagement communication needs including acknowledgements, thank you videos, impact reports, endowment reporting, email responses.
- Input and update Assistant Head for Development’s actions and notes in RE NXT, support with next steps. Ensure accuracy and integrity in all data entered in the CRM and related systems.
- Maintain organized physical and digital filing systems and archive outdated files.
Calendar, Scheduling, and Travel Management
- Manage and prioritize the Assistant Head for Development’s calendar.
- Schedule and plan meetings and manage logistics including preparing agendas, briefing materials, prospect or topic research, and ensuring timely follow-up as needed.
- Set up and test virtual meetings (Zoom) and provide tech support during meetings as needed.
- Manage travel arrangements for Assistant Head for Development and other front-line fundraisers.
Special Projects and Research
- Collaborate with the Assistant Head for Development on development of presentations for Board of Trustee meetings, committee meetings, and professional community meetings.
- Manage next steps from team meetings as needed.
- Manage feedback and follow up from external meetings, including next steps.
- Prepare materials for Directors’ reporting including in-house staff presentations and the creation and collection of reports.
- As requested, and in conjunction with the Data Operations and Engagement Team, learn to be curious about and execute research for current and prospective donors, with a focus on reunion milestone years with special attention to employment and updated contact information for alums heading into their 5th year reunion.
- Keep Assistant Head of School for Development apprised on the progress of projects and challenges found.
Digital Strategy Support
- Elevate our digital presence on social media for alumni and development specific purposes, i.e. alumni Instagram, LinkedIn and other options.
- Support Alumni and Development digital communications and develop skills to be a lead.
- Read campus wide emails and seek out information to be sure we track the following student attributes: graduating class college matriculation, graduating class survey data, graduating class college admission statements, student activities, teams, awards, signature experiences.
- Read Admissions visitors weekly and note legacy connections in database.
- Retrieve Peddie Summer Academy info and attribute it to proper records.
- Read the Chronicle Class Notes and add relevant information to database.
- Keep up with new Peddie alumni on LinkedIn/Facebook/Instagram/Google alerts and proactively engage with alumni by sending recognition of milestones.
Event Support
- Assist with Alumni and Development events as needed.
- Serve as back up for Alumni and Development events with email and website support, advanced and onsite registration, and nametag production when needed.
- Partner with the Data Operations, Peddie Fund and Engagement teams as needed.
Qualifications
- Bachelor’s degree.
- Minimum 1+ years of marketing, communications or independent school experience.
- Strong integrity, interpersonal skills and customer service mindset.
- Keen interest in development, fundraising, stewardship, and independent education.
- Strong ability to organize and complete multiple tasks simultaneously with close attention to detail and prioritization to meet deadlines.
- Demonstrated success working in a team-oriented, fast-paced, multi-project-oriented environment.
- Excellent computer skills with working knowledge of Microsoft Office, Google, Asana and social media platforms.
- Ability to create visually engaging presentations in Power Point and similar programs.
- Experience with Raiser’s Edge NXT and Adobe are a plus.

The hourly salary range for this position is $25-$28 per hour. The actual offer will be commensurate with skills and experience.
