Now, we’re looking for a CRM & AI Automation Technologist to join our growing team and help shape the next generation of AI-driven marketing and patient scheduling systems.

Role Overview

As our CRM & AI Automation Technologist, you will lead responsible for the development, deployment, and optimization of integrated systems that connect digital ad campaigns, CRM platforms, AI agents, and patient tracking tools. You will be the architect behind automation that takes a patient from a Facebook or Google ad, through qualification via AI agents, into HighLevel, and finally into ClickUp for surgical coordination—all with minimal human touchpoints.

This is a high-impact, cross-functional role working directly with marketing strategists, AI developers, and healthcare operators to deliver real-world results.

Key Responsibilities

CRM Architecture & Workflow Automation

• Design, build, and maintain automated logic-based workflows in Zapier, HighLevel and ClickUp, tailored to the healthcare patient journey.
• Develop conditional logic and triggers that move leads seamlessly from marketing campaigns to qualification and into patient tracking pipelines.
• Ensure all campaigns funnel leads into HighLevel in real-time (form fills, calls, SMS) with accurate tracking and tagging.
  
  

System Integrations & API Work

• Integrate Meta (Facebook/Instagram) and Google Ad campaigns directly into HighLevel using native or custom-built connectors.
• Use tools like Zapier, Postman or direct APIs to sync data between platforms (e.g., HighLevel → ClickUp, Meta → GHL, GHL → Google Sheets).
• Maintain data accuracy and reliability across systems to ensure smooth patient workflows.
  
  

AI Agent Development & Deployment

• Voice AI and SMS experience is a plus. Using tools like ElevenLabs, ChatGPT, Synthflow, and High Level.
• Deploy agents via High Level workflows, monitor performance, and iterate for higher conversion.
  
  

Reporting & Analytics

• Build and manage custom dashboards using Looker Studio, integrating data from ad platforms, CRM tools, and performance analytics.
• Enable clients and internal teams to track campaign ROI, conversion rates, patient flow, and key KPIs.
  
  

Client Enablement & Internal Collaboration

• Work closely with account managers, marketers, and developers to align system design with client goals.
• Provide documentation, training, and troubleshooting for workflows and AI systems as needed.
• Collaborate on process improvements to scale tech infrastructure as client needs grow.
  
  

Qualifications & Experience

Must-Have Skills

• 3+ years of experience building and maintaining CRM and marketing automation systems (preferably in HighLevel, ClickUp, HubSpot, Salesforce, or similar platforms)
• Proficient with Zapier, or similar integration platforms
• Demonstrated experience building AI workflows using tools like Synthflow, Twilio, or OpenAI-powered agents
• Deep understanding of digital marketing funnels and healthcare lead conversion flows
• Excellent at working with APIs and integrating between ad platforms, CRMs, and data visualization tools
• Experience building real-time dashboards with Looker Studio, Google Sheets, or similar
  
  

Preferred Skills

• Familiarity with HIPAA compliance and healthcare marketing regulations
• Background working with call tracking systems like CallRail or Liine
• Basic scripting or coding knowledge (e.g., JavaScript, Python, or Webhooks)
• Experience in healthcare tech, telehealth, or patient experience systems
