About the Role:
The Guest Reception Associate serves as the professional and welcoming first point of contact for all Hub visitors. This role is responsible for sorting, handing out, and forwarding mail to guests, as well as maintaining the flow of the lobby and providing warm handoffs that connect visitors with the right staff member.
People come to the Hub potentially carrying decades of trauma. The Guest Reception Associate plays a key role in ensuring that the Hub is a welcoming, safe, and trauma-informed environment from the moment guests arrive. In addition to front desk and mail duties, the Guest Reception Associate will assist in monitoring the lobby to confirm that Hub visitors have their needs met. This role requires comfort with independent decision-making during crises and a willingness to problem-solve throughout a given shift.

Many Hub clients and guests are healing from trauma related to their marginalization. Primary Location: 590 Washington, Memphis, TN 38105
Hours: typical shift hours are Monday through Friday 8:00 am to 4:00 pm, with participation in warming and cooling center events

Pay: The salary for this position is dependent on the candidate's demonstrated experience, expertise, and skill. The salary range for this role starts at $15.00/hr. Hourly team members are compensated with pre-approved overtime pay for hours exceeding 40 hours a week.

Responsibilities
- Greets Hub guests, partners, and staff as they enter and leave the lobby
- Serves as the professional and welcoming first point of contact for all Hub visitors
- Provides warm handoffs, connecting visitors with the appropriate staff member
- Receives and stamps new mail, discarding junk mail
- Sorts mail and organizes in the filing system
- Assists guests with opening mailboxes and mail checks
- Forwards misdirected mail
- Purges old mail monthly
- Maintains a clean and clutter-free environment in the mailroom
- Keeps records of receipt, mailing dates, and other required information for vital documents
- Uploads copies of vital documents into HMIS
- Monitors mailroom supplies and restocks the front desk with additional supplies when necessary
- Assists with the transportation of guests to designated destinations
- Administers COVID tests and results upon request
- Helps ensure the safety of all guests
- Completes incident reports for any injuries experienced by guests
- Contacts emergency services when needed
- Immediately reports any security concerns to security personnel
- Coordinates with security staff to manage lobby flow and maintain a safe, orderly environment
- Notifies the Facilities Manager of any equipment or building issues
- Resolves conflicts during shifts using de-escalation and mediation skills
- Supports the mission of the Hub to help people move out of homelessness with creativity, commitment, and compassion
- Develops and maintains working knowledge of Hub services and community resources to effectively direct guests
- Assists guests with basic resource needs and inquiries
- Answers, screens, and forwards incoming phone calls, providing callers with basic information as needed
Requirements

- Maintains a high degree of confidentiality
Preferred
- Experience working in hospitality
- Experience with working with individuals living on the margins of society

- CPR/First Aid Certificate
- De-escalation and mediation training
- HMIS reporting and data collection
- Harassment Prevention For Non-Supervisors
- Training on all services offered by the Hospitality Hub, the Homeless Continuum of Care, and active partners and referral agencies
