Job Title: Executive Assistant & Special Projects Manager

Reports To: CEO 
Location: Sherman Oaks

Position Summary

The Executive Assistant & Special Projects Manager provides high-level support to the CEO while also taking the lead on key organizational initiatives and cross-functional projects. This role goes beyond traditional administrative support and serves as a strategic partner who helps move priority work forward across the organization.

The ideal candidate is highly organized, proactive, and solutions-oriented, with strong project management skills and the ability to lead special projects from planning through execution. This person must be comfortable working independently, coordinating across teams, and managing multiple priorities in a fast-paced nonprofit environment.

Key Responsibilities

 

Executive Support

  • Track leadership priorities, deadlines, and follow-up items to ensure timely execution
  • Serve as a trusted partner to the CEO, anticipating needs and helping manage workflow efficiently

Special Projects & Project Management

  • Lead and coordinate special projects on behalf of executive leadership, from concept through implementation
  • Develop project plans, timelines, task tracking, and accountability structures to ensure successful completion
  • Coordinate across departments to move initiatives forward and resolve barriers
  • Monitor progress on strategic priorities and provide regular updates to leadership
  • Support organizational change efforts, new initiatives, events, and cross-functional planning processes
  • Help translate big-picture goals into actionable next steps and measurable outcomes

Event Coordination

  • Support the planning, coordination, and execution of organizational events, board meetings, leadership retreats, and donor events
  • Coordinate logistics including scheduling, materials preparation, and technology needs
  • Provide on-site and day-of support to ensure events are executed flawlessly
  • Assist in preparing agendas, presentations, and supporting materials.



Operations & Cross-Functional Coordination

  • Facilitate communication and coordination among internal departments and external partners
  • Support the planning and execution of organizational events, leadership retreats, and major initiatives
  • Improve administrative and project management systems to increase efficiency and accountability

Board & Stakeholder Support

  • Coordinate Board of Directors meetings, materials, logistics, and follow-up
  • Prepare meeting agendas, minutes, and board communications as needed
  • Serve as a liaison with board members, donors, community partners, and other stakeholders in a professional and responsive manner

Confidential & Strategic Support

  • Handle sensitive information with discretion and sound judgment
  • Provide research, analysis, and administrative support for strategic decision-making
  • Take initiative in identifying needs, solving problems, and ensuring leadership priorities are advanced

Qualifications

  • Bachelor’s degree or equivalent experience
  • 5+ years of experience supporting senior executives, managing projects, or coordinating operations
  • Strong project management, organizational, and follow-through skills
  • Proven ability to lead projects independently and manage multiple deadlines simultaneously
  • Excellent written and verbal communication skills
  • High degree of professionalism, discretion, and emotional intelligence
  • Proficiency in Microsoft Office and/or Google Workspace; experience with project management platforms and CRM systems a plus
  • Nonprofit experience preferred

Salaries will vary based on various factors, including but not limited to, professional and academic experience, certification, training, responsibilities of the position, and other business and organizational needs. The range listed is just one component of our total compensation package for employees.
