The Harris Center for Mental Health and IDD is hiring a Program Coordinator - Medical Services. The Program Coordinator– Medical Services provides administrative and departmental support. The program coordinator is responsible for administrative duties of day-to-day operations of the Medical Services department. This includes supporting the director and vice president, as needed, through communications, policies and procedure upkeep, contracts, invoicing/billing, budget coordination, accountability and approval. Responsible for planning and organizing various meeting calendars, schedules, agendas and minutes. The program coordinator is responsible for coordinating the onboarding and training schedules of medical students, residents and fellows from organizational affiliates for the Medical Education Program. Responsible for program planning and development inclusive of organizational affiliates, such as, Baylor, UT and UTMB. The program coordinator is responsible for reviewing and maintaining documentation in accordance with federal and state guidelines for IRB, organizing submissions, expirations and meetings of IRB.
Your role in Action
- Works collaboratively within Clinical Transformation and Quality staff and leadership.
- Works collaboratively with supervisors and organizational affiliates.
- Works collaboratively with staff across the organization to support the Medical Education program.
- Provide support to the Director of Medical Services and Vice President of Clinical Transformation and
Quality. - Oversee day-to-day administrative functions, including: communications, policy and procedure maintenance, contract management, invoicing and billing coordination, budget tracking and approvals.
- Organize and manage meeting logistics: maintain calendars and schedules of various meetings and/or
retreats, prepare agendas and record minutes. - Serve as the primary liaison for onboarding and training of: medical students, residents, fellows.
- Coordinate schedules and rotations with organizational affiliates, including: Baylor College of Medicine, University of Texas (UT) and University of Texas Medical Branch (UTMB).
- Support program planning and development to ensure alignment with educational goals and clinical standards.
- Review and maintain all IRB-related documentation in compliance with federal and state regulations and guidelines.
- Organize and track: IRB submissions, expiration dates, meeting schedules and minutes.
- Ensure timely renewals and accurate recordkeeping for all research-related activities.
- Coordinates special projects for programs.
- Adapts to changing work requirements.
- Complies with Agency policies and procedures, accrediting/regulatory bodies and performance contract
documentation requirements. - Performs other related duties as assigned
What qualifications you will need:
Education:
- Bachelor’s degree (B.A.) or equivalent.
Experience:
- 3 years of related experience required
Requires Knowledge, Skills & Abilities:
- Proficiency in Microsoft Office.
- Leadership, communication and problem-solving skills are necessary.
- Able to work collaboratively with others in a teamwork environment.
- Effective time management and organizational skills
