Job Title:  Compliance Administrative Assistant

Salary: Competitive compensation package based on experience.

Essential Duties and Responsibilities:

This position will be responsible for tracking and processing PO’s, CO’s and Subcontracts for multiple large-sized construction projects, including day-to-day interface with project management teams, clients, and vendor/subcontractor personnel. This position will also assist the Small Business Departmental Liaison with management of small business vendor database.

  • Generate and review project assigned Purchase Orders.
  • Generate and review Change Orders.
  • Generate Subcontracts and review of terms and conditions.
  • Enter data into Vista Viewpoint construction accounting system.
  • Tracking and ensuring vendor compliance with Certificates of Insurance and W9’s.
  • Tracking and ensuring vendor compliance with Vendor / Subcontractor Size Self-Certification Form.
  • Consistent and professional contact with vendors, subcontractors, project and office co-workers.
  • Assist and support Compliance Officer with administrative duties.
  • Perform other related activities and duties as assigned.

Education and/or Work Experience Requirements:

  • 2-3 years’ experience compliance preferred.
  • Construction experience preferred.
  • Proficiency in Microsoft Outlook, Word, Excel and PowerPoint and internet navigation required.
  • Conduct business with 100% integrity and professionalism.
  • Ability to multi-task, work well under pressure and work independently.
  • Time management skills.
  • Strong attention to detail.
  • Strong written, verbal and interpersonal communication skills.
  • Able to build strong working relationships with teammates and other staff members.
  • Confidentiality and trustworthiness with secure or private information.
  • Initiative and proactivity in management of project assignments.

Physical Requirements:

  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards
  • Must be able to lift and carry up to 50 lbs
  • Must be able to talk, listen and speak clearly on telephone.
  • Must be able to follow directions
  • Must be able to communicate effectively
