Position Summary
The Security, Fire Safety & Facilities Coordinator supports the Chief Engineer in maintaining a safe, secure, and efficiently operated facility. This role serves as the primary point of coordination for building security, fire safety compliance, and front desk operations, while acting as a backup resource for basic facility maintenance needs. The position also provides a professional first point of contact for visitors and assists with mailroom and package handling.
Key Responsibilities
Security Management
- Monitor and manage building access systems, including key cards, badges, and visitor logs.
- Screen, greet, and direct visitors in a professional and secure manner.
- Respond to security incidents, alarms, and access issues, escalating as needed.
- Maintain daily security reports and incident documentation.
Fire Safety Director Duties
- Serve as the designated Fire Safety Director for the building.
- Maintain and enforce fire and life safety procedures in compliance with local regulations.
- Coordinate and lead fire drills, evacuations, and emergency response efforts.
- Act as the primary point of contact for the fire department and emergency personnel when required.
- Assist with maintaining fire safety plans, logs, and compliance documentation.
Facilities Support (Assistant to Chief Engineer)
- Support the Chief Engineer with coordination of maintenance and repair activities as needed.
- Serve as backup for minor maintenance coordination when the Chief Engineer is unavailable.
- Assist with general facility readiness when needed.
Front Desk & Administrative Duties
- Serve as the first point of contact for tenants, staff, and visitors.
- Answer phones, manage inquiries, and direct communications appropriately.
- Maintain a professional, welcoming presence at the front desk at all times.
Mailroom & Package Coordination
- Receive and assist with the distribution of incoming mail and packages as needed.
- Coordinate with delivery carriers and tenants for package handling.
Working Conditions
- Standard office hours for this role are 7:15 AM – 5:45 PM Monday through Friday.
- On-call 24/7 availability for emergencies. May require –
- Early morning or late evenings.
- Response to weather-related or utility emergencies.
- Weekend or holiday work.
- Adjusted hours in January and February: 6:30 AM – 6:30 PM.
- A combination of office-based work and fieldwork on and around the facility grounds. Indoor and occasional outdoor environments, depending on facility needs.
- Exposure to operations areas such as mechanical rooms, loading areas, or secured locations.
