Role/ Position Overview
The Tender Associate will be responsible for identifying relevant tender opportunities,
reviewing tender requirements, and supporting the end-to-end bidding process across
multiple product categories and industries. The main goal of this role is to prepare accurate
and compliant bid documentation, coordinate with internal teams to gather required
information, and ensure timely submission of tenders. This role requires strong attention to
detail, good organisational skills, and the ability to understand tender requirements while
managing multiple deadlines. The Tender Associate will contribute to business growth by
supporting the successful execution of government and private sector tender submissions.
Key Responsibilities
Key Result Areas & Supporting Actions
- Tender Identification
- Actively track and monitor government e-procurement portals and private tender platforms to identify relevant business opportunities across multiple product categories and industries.
- Evaluate tender eligibility, scope, and timelines before participation.
- Tender Documentation and Preparation
- Review tender, RFQ, and RFP documents thoroughly.
- Prepare eligibility documents, technical and commercial bid documents, compliance sheets, and other supporting documentation required for submission.
- Online Bidding
- Manage the end-to-end e-tendering process, including
- Submission
portal registrations, Digital Signature Certificate (DSC) usage, online bid submissions, and responding to pre-bid queries or clarifications within stipulated timelines.
- Cross-Functional Coordination
Coordinate with sales, procurement, operations, finance, and other internal stakeholders to collect technical specifications, pricing, statutory documents, certificates, and financial documents (EMD/BG, where applicable) required for tender submissions.
- Tender Database Management
Maintain accurate records of identified tenders, submitted bids, bid status, supporting documents, client information, and win loss analysis for future reference and reporting.
- Bid Follow-up and Post-Submission Support
Track the progress of submitted tenders, monitor bid opening and award status, coordinate documentation for post award activities, and support contract execution by liaising with internal teams and clients.
The responsibilities listed above are indicative in nature and these may evolve based on
business needs. As the role progresses, other KRAs and responsibilities may be identified to
align with organisational priorities and the employee’s growth. This will be done as per
mutual discussions.
Skills Required
Technical
- Understanding of government and private tendering processes
- Ability to read and interpret Tender, RFQ, and RFP documents
- Familiarity with e-procurement portals (GeM, CPP Portal, state portals, etc.)
- Knowledge of bid documentation, compliance requirements, and supporting documents
- Proficiency in Microsoft Excel, Word, and PowerPoint
- Experience with online bid submission and Digital Signature Certificate (DSC) processes

- Basic understanding of commercial terms, quotations, and pricing (preferred)
