About the Role:
We are looking for an organized and detail-oriented Tender and Proposal coordinator to join our team. The successful candidate will be responsible for preparing tailored tender proposals, managing client communication, and ensuring deadlines are met. You will collaborate closely with both clients and internal stakeholders to ensure all proposals are aligned with client requirements and expectations.
Job Responsibility:
- Manage the full lifecycle of tenders, including RFPs, RFQs, RFIs, and bids from initial identification through to final submission and post-award follow-up.
- Monitor tender portals and procurement websites to identify relevant opportunities and ensure timely response submissions.
- Review and analyze tender documents to ensure full compliance with client, regulatory, and contractual requirements.
- Coordinate with cross-functional teams (Sales, Pricing, Finance, Legal, Operations, Marketing, and Project Management) to gather required inputs for submissions.
- Lead the tender process by establishing timelines, organizing kickoff meetings, and assigning responsibilities to stakeholders.
- Prepare high-quality, accurate, and competitive bid packages, ensuring all required documentation, pricing, certifications, and approvals are complete.
- Track and manage tender amendments, addenda, and clarifications, ensuring all updates are incorporated into submissions.
- Handle both electronic submissions and physical bid assembly, ensuring adherence to submission guidelines and deadlines.
- Maintain bid calendars, trackers, and documentation to ensure efficient workflow and audit readiness.
- Support pricing reviews, cost analysis, and internal approval processes to ensure profitability and competitiveness.
- Serve as the primary point of contact for client inquiries related to tenders and submissions.
- Maintain and update the Canadian reference database and other supporting documentation repositories.
- Manage contract renewals in collaboration with Sales, ensuring pricing accuracy and continuity of service agreements.
- Track bid outcomes, maintain records, and support reporting to improve future bid performance.
- Continuously enhance bid processes, templates, and tools to increase efficiency, quality, and win rates.
- Ensure all submissions align with company policies, governance standards, and best practices.
- Perform additional duties as assigned by management.
