Role: Fit-out, Renovation & Design Coordination Manager
Reporting to: Director – Operations / Projects
Location: Gurgaon, Haryana
🏗️ Role Outline
We are hiring a full-time Fit-out & Renovation Coordination Manager to own and coordinate all small-to-medium renovation, tenant fit-out interface, civil modification, interior finishing, BOQ preparation, costing comparison, and design/MEP coordination works across our operational commercial buildings.
The role requires strong execution ownership, vendor coordination, drawing and BOQ understanding, site readiness planning, quality control, and tenant-sensitive execution management to ensure timely and well-documented project delivery.
🔑 Key Responsibilities
1. Maintain Master Work Tracker
Own and maintain a live tracker for all ongoing works across all buildings, including:
- Work name
- Building/floor/location
- Scope of work
- Owner/internal stakeholder
- Vendor details
- Drawing/specification status
- BOQ status
- Material status
- MEP dependencies
- Tenant impact assessment
- Target completion date
- Current blockers
- Next action items
- Closure photos/documents
2. Coordinate Renovation & Fit-out Works
Coordinate execution of:
- Washroom upgrades
- AHU room civil readiness
- Corridor works
- Lobby/common-area upgrades
- Signage installations
- Wallpaper, PVC panelling, ceiling, paint, and stone finishes
- Tenant fit-out interface works
- Minor civil modifications
- Waterproofing-related coordination
- Demolition, dismantling, and scrap handling
- Interior finishing and refurbishment works
- Ensure execution quality, sequencing, vendor readiness, and closure documentation.
3. BOQ Preparation & Costing Coordination
Prepare, review, and coordinate:
- BOQs for interior and civil works
- Quantity verification based on site measurements
- Material requirement estimation
- Costing comparison across vendors
- Comparative analysis for interior materials and finishes
- Scope alignment between drawings, BOQs, and quotations
- Rate benchmarking for civil/interior items
- Vendor quotation analysis and recommendation
- Must have practical knowledge of:
- Ceiling systems
- Flooring materials
- Paints and finishes
- Stone and tile works
- Wallpaper/PVC panelling
- Glass and partition systems
- Joinery/interior fit-out materials
- Hardware and washroom accessories
4. Pre-check Drawings & Site Conditions
Before execution begins, ensure:
- Latest drawings are available and approved
- Site measurements are verified
- BOQs match actual site requirements
- MEP clashes are identified early
- Finish materials are approved
- Vendor execution methodology is reviewed
- Mock-ups/samples are checked before full-scale execution
- Material specifications align with approved costing
5. Coordinate MEP Interface for Fit-outs
Coordinate with MEP teams for:
- AHU room readiness
- Drainage lines
- Plumbing routes
- Sprinkler shifting
- Electrical and cable tray routing
- Service clashes
- Leakage and seepage identification
- CAPA documentation for recurring issues
- This role supports coordination and execution readiness and does not replace the MEP team.
6. Tenant Impact Planning
Before executing noisy, dusty, or disruptive work:
- Prepare method statements
- Confirm execution timing
- Coordinate with CRM teams
- Identify affected tenants
- Ensure dust/noise/smell control measures
- Arrange barricading/green net protection
- Shift disruptive work to evenings/weekends where required
- Send closure updates after completion
7. Vendor & Purchase Coordination
Coordinate with Purchase and internal stakeholders for:
- Quotations and costing
- Site surveys
- Vendor onboarding and follow-up
- Drawing/specification alignment
- Material availability
- Alternative vendor sourcing
- Work-start readiness
- Comparison sheets for interior and civil procurement
- Ensure Purchase receives clear scope definitions, measurements, drawings, specifications, urgency, and commercial comparisons.
8. Quality Control & Snag Closure
Own first-level QC for:
- Finish quality
- Material matching
- Tile/stone protection
- Proper drilling/tool usage
- Paint/PVC/wallpaper finish consistency
- Cable concealment
- Corridor aesthetics
- Washroom accessory placement
- Interior detailing quality
- Final snag closure and photo documentation
9. Reporting & Documentation
- Daily Updates
- Share building-wise updates covering:
- Planned work
- Completed work
- Delays and reasons
- Support required
- Next-day plan
- Weekly Director Update
- Prepare reports covering:
- Top active works
- Delayed works
- Tenant-risk activities
- Decisions required
- BOQ/costing approvals pending
- Completion photos
- Vendor performance concerns
