Description
We are looking for a Team Assistant to join our fun, supportive and international team in Gurugram, India. As a Team Assistant, you will provide an extensive and complex range of organizational and administrative tasks in support of our Wider Asia and India Advisory Management teams. The ideal candidate will thrive on project management, coordination, organisation and will be a self-starter. The position would be suitable for applicants with a range of experience from someone starting their career through to a person with several years of experience in an administrative role.
We are looking for someone with excellent organizational skills, who is a confident communicator, who is fluent in English, capable of dealing with people at all levels, and always maintain a confidential and professional communication.
Reliability and adaptability are vital for this role, together with the ability to work independently and to be flexible on handling various organizational tasks with changing deadlines and priorities.
Key Responsibilities
Essential scope for Wider Asia Advisory Support
Working as part of Advisory BD team and working closely with APAC Commercial team:
- Create advisory opportunities on Sales Force and update accordingly based on BD development
- Draft advisory contracts, manage client’s feedback on contract terms, work with APAC Legal team for contract review, and work with client on contract execution
- Work collaboratively with APAC Commercial team if the deal is a subscription cross-sell
- Create projects on ERP and interface with APAC Finance team on revenue recognition process
- Provide timesheet code to Advisory team once it is active on ERP
Essential scope for India Advisory Support
- Managing weekly advisory check-ins and opportunity tracker with close collaboration with the team including proposal management for advisory clients in India
- Creation of opportunities of Salesforce and pipeline management
- Managing internal processes for advisory contracts (drafting, status tracking, signing, adding to ERP), including acting as a point of contact between advisory leads, legal, finance, project coordination, and clients (mainly India and Singapore focus and potentially broader APAC support)
- Draft advisory contracts, manage client’s feedback on contract terms, work with APAC Legal team for contract review, and work with client on contract execution
- Work collaboratively with APAC Commercial team if the deal is a subscription cross-sell
- Performing tasks related client onboarding, project creation and documentation and invoicing via CRM and ERP
- Managing revenue recognition processes month-to-month
- Create projects on ERP and interface with APAC Finance team on revenue recognition process
- Provide timesheet code to Advisory team once it is active on ERP
Potential scope
- Organizing internal meetings for the Advisory Leads with: Finance, Project Coordinator, Commercial team.
- Supporting and coordinating the internal activities of the Advisory team such as internal events and trainings
- [Optional]: Providing all-round support to the India Head of Advisory, Head of Wider Asia and Singapore based Advisory leadership; organizing and managing a comprehensive schedule of meeting and diary requirements, organizing and booking travel arrangements, managing timesheets and expense claim.

- Excellent interpersonal skills with ability to build relationships at all levels
- A self-starter, with a positive, can-do attitude, able to juggle a variety of tasks at any one time and able to plan ahead
- Passionate about teamwork but able to work independently, too
- Excellent project management, organisational skills, time management and attention to detail
- Attention in detail is very important, and is comfortable at formatting contracts
- Strong ability to communicate clearly and professionally with both internal colleagues and clients
- Excellent MS office skills particularly Outlook (diary management across different time zones)
- Ability to speak and write fluently in English
Desirable attributes:
- Work experience as a team assistant or within an administrative position
- Proven experience working for a fast-growing professional services business or in a sales/client-facing environment
- Prior experience working in various India and APAC, ASEAN countries
- Proven work experience managing complex meeting schedules across multiple time zones
- Experience with CRM and ERP systems, such as Salesforce, Microsoft Dynamics or other platforms
