About The Role
We are seeking a highly analytical and technology-driven Talent Acquisition Operations Specialist to join Capgemini’s dynamic HR team. This role is pivotal in modernizing and streamlining recruitment processes through automation, system optimization, and operational excellence. The specialist will collaborate closely with HR, Finance, hiring managers, and global stakeholders to ensure efficient hiring operations, enhance the candidate experience, and maintain compliance with internal policies and regulatory standards. The ideal candidate will possess a strong blend of HR technology expertise, recruiting operations experience, and data-driven decision-making skills.
The Talent Acquisition Operations Specialist will support various functions including offer management, onboarding coordination, TA systems administration, and real-time recruitment analytics. The role aims to enable faster, more efficient, and compliant hiring practices across multiple regions, contributing significantly to Capgemini’s talent acquisition excellence and organizational growth.
Qualifications
- Master of Business Administration in Human Resources (preferred) or Bachelor's degree in a related field (required).
- Minimum of 7 years of experience in recruitment operations, offer management, onboarding, or HR coordination.
- Proven experience managing recruitment operations at scale across multiple geographic regions.
- Strong stakeholder management, communication, and problem-solving skills.
- Advanced proficiency in MS Excel, HR systems, ATS, onboarding platforms, and HRIS tools.
- Experience with full-cycle recruitment processes, process optimization, and HR technology implementation.
- Ability to analyze data, generate insights, and support strategic workforce planning.
Responsibilities
Strategic Offer Management
Prepare, review, and issue offer letters and related documentation with high accuracy and attention to detail. Ensure all offer processes adhere to internal policies and comply with relevant regulatory standards. Continuously seek opportunities to improve offer turnaround times and process efficiency through automation and process redesign.
Candidate Engagement & Post-Offer Follow-Up
Lead communication with candidates from the post-offer stage through onboarding. Address candidate queries promptly and facilitate the completion of all joining formalities in a timely manner. Track candidate drop-off trends and onboarding ratios to identify areas for improvement.
Onboarding Program Oversight
Collaborate with HR, hiring managers, and cross-functional teams to streamline onboarding workflows. Ensure all pre-joining checks, background verifications, and documentation are completed on schedule. Use feedback from new hires to enhance onboarding processes and improve the candidate experience.
Recruitment Reporting & Analytics
Maintain and own recruitment dashboards and KPI reports, including metrics such as time-to-fill, offer acceptance rates, cost-per-hire, and diversity statistics. Provide actionable insights and recommendations to TA leadership for operational and strategic decision-making. Conduct demand-supply analysis and hiring trend evaluations to support workforce planning initiatives.
Headcount & Budget Governance
Monitor hiring plans, workforce metrics, and TA-related budget utilization. Partner with HR and Finance teams to ensure accurate forecasting, reporting, and compliance with budget controls. Support the alignment of recruitment activities with organizational financial goals.
Vendor Performance Management
Manage relationships with sourcing, recruitment, and background verification vendors. Monitor vendor SLAs, performance metrics, and compliance adherence. Drive continuous improvement through regular performance reviews and vendor audits.
TA Systems & Tools Administration
Lead the administration, optimization, and troubleshooting of TA platforms such as ATS, onboarding tools, and HRIS systems. Ensure data accuracy, system compliance, and alignment with HR governance standards. Conduct training sessions for recruiters and stakeholders to maximize system utilization and adherence to best practices.
Compliance & Process Governance
Ensure recruitment processes adhere to audit requirements, internal controls, and global governance standards. Maintain comprehensive documentation to support regulatory compliance. Promote best practices across recruitment workflows to standardize and improve operational efficiency.
