In this vital role, you’ll be responsible for coordinating and managing all travel arrangements for our field-based wind industry technicians—ensuring every journey is efficient, cost-effective, and hassle-free. Working closely with internal teams and external travel providers, you’ll help keep our global operations running smoothly by ensuring technicians are where they need to be, when they need to be there.
Responsibilities
- Coordinate Travel Logistics: Organize all aspects of technician travel, including flights, trains, ground transportation, and accommodation, ensuring every detail is handled.
- Partner with Key Teams: Collaborate with project and operations teams to forecast travel needs and proactively manage logistics in line with project schedules.
- Support on the Go: Provide real-time support to technicians during travel, especially for emergencies or last-minute changes.
- Manage Budgets: Monitor travel expenses and identify cost-saving opportunities, ensuring high-quality travel experiences without overspending.
- Maintain Profiles & Preferences: Keep technician travel profiles up to date, including preferences, frequent flyer accounts, and other key information.
- Ensure Compliance: Coordinate with visa and immigration providers and ensure all travel complies with company policies, customer expectations, and international regulations.
- Track & Report: Maintain accurate records of travel bookings, invoices, and reports using relevant software tools.
- Communicate Effectively: Clearly share travel itineraries, updates, and changes with technicians, making sure they’re always informed and supported.
You Are:
We’re looking for a proactive, highly organized individual who thrives on managing details and solving problems on the fly. You’re calm under pressure, service-minded, and love working with people. You have:
- 3+ years of experience in a similar role, ideally within the energy or wind industry.
- A proven track record in coordinating complex domestic and international travel.
- Excellent organizational skills and the ability to juggle multiple tasks at once.
- Strong IT skills, including travel booking systems and Microsoft Office.
- Experience working with technicians or field-based teams is a big plus!
- Fluency in English and Polish (additional languages are an asset).
- Familiarity with international visa and compliance requirements.
