Position Title: Secretary, High School to Assistant Principal
Department: High School

SUMMARY: Serve as secretary to the principal and as facilitator for the school/public being served in communicating information, problem solving, material acquisition, cash handling, record keeping and building permits.
ESSENTIAL DUTIES AND RESPONSIBILITIES Other duties may be assigned.
Serves as a confidential secretary to the Assistant Principal
Type correspondence, letters and memos, forms, etc.
Answer telephones, responds to routine questions, sets appointments or route calls to appropriate persons; cover front desk
Performs duties relating to students such as: administering medications, responding to accidents and illnesses, resolving bus scheduling problems, and other issues as they arise.
Provides information to visitors, new parents, and students; answers questions; resolves student problems; schedules requested conferences
Prepares employee and student accident reports
Maintains school/student records
Provide assistance with the student handbook
Communicates with families regarding student discipline
Coordinates efforts with the Viceroy program (in-school suspension program)
Communicates discipline outcomes with staff
Manage and maintain the school Facebook page
Support student technology issues; Chromebooks, logins, etc
Support student behavior logs and plans along with the assistant principal
Support the truancy process by creating reports and tracking data
Liaison to the courts for students who are either on probation or in truancy
Maintain calendars for staff and student events at the high school, including managing sign-ups for shared spaces.
Support large events; Senior Honors Night, Graduation, and Honors Convocation
This position will also be cross trained in the following responsibilities:
Maintaining books for staff, student and building accounts
Make and record deposits
Pupil Accounting
Compile pupil accounting reports, coordinate grade reporting, prepare school newsletter
Acts as liaison between school and community, principal, parents, staff, and students
Assist in scheduling students
Assign initial student lockers
Update and coordinate back to school folder and resources for students
Update the Student and Staff Handbooks
End of year process in PowerSchool
Update reports in PowerSchool as needed
Process purchase orders, check requests
Performs duties relating to students such as: taking attendance and tardiness,
Compiles and distributes monthly and annual reports including staff attendance, student attendance and calendar of events.
SUPERVISORY RESPONSIBILITIES: Students and Parent Helpers
QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE:
Minimum of High school diploma, some college preferred; plus three to five years in general office work and/or training; or equivalent combination of education and experience.
Knowledge of spreadsheets and word processing (computer applications).
LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of parents or employees of organization.
MATHEMATICAL SKILLS:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
OTHER SKILLS and ABILITIES:
Must be able to multitask. Ability to operate office machines and personal computer and related software. Ability to develop effective working relationships with students, staff and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
