Role Overview:
We are looking for a proactive, organized, and detail-oriented Studio Coordinator & Executive Assistant to support the smooth functioning of our interior design studio. The role involves coordinating between design teams, clients, vendors, and site supervisors while managing schedules, meetings, office administration, and day-to-day operational tasks.
The ideal candidate should have strong communication skills, multitasking ability, and a solution-oriented approach. These are the key parameters of the role:
- Client Coordination
- Team & Project Coordination
- Admin & Executive Support
Key Responsibilities:
- Coordinate with internal design teams, site supervisors, vendors, and consultants on daily tasks and follow-ups.
- Track assigned tasks, timelines, and project deliverables.
- Maintain project schedules and ensure timely communication across teams.
- Schedule and coordinate client meetings, presentations, and site visits.
- Act as a communication bridge between clients and the internal team.
- Maintain meeting notes, follow-up points, and communication records.
- Ensure smooth client experience through timely updates and coordination.
- Manage leadership calendars, appointments, and reminders.
- Coordinate travel bookings, meetings, and external appointments.
- Support management in day-to-day administrative and operational activities.
- Handle confidential information professionally.
- Oversee office operations, upkeep, cleanliness, and studio organization.
- Coordinate and manage with housekeeping and office vendors.
- Coordinate team travel, logistics, and purchases.
- Support HR/admin-related tasks when required.
- Handle ad-hoc operational responsibilities efficiently.
- Ability to research and network with new members

Preferred Qualifications
- Bachelor’s degree in Administration, Management, Design Management, or related field.
- 1-3 years of experience in coordination, administration, EA, or studio operations.
- Language- English Hindi Telugu
- Experience in an interior design, architecture, construction, or creative firm preferred.
