We are looking for a highly organized, proactive, and detail-focused Strategic Program Manager to support a high-performing CXO within a fast-paced real estate company. The CXO is responsible for overseeing critical departments such as Design, Engineering, Sales, Marketing & Communications, and Branding, while collaborating closely with various external consultants.
Requirements
Key Responsibilities
- Calendar & Time Management
- Oversee and streamline the CXO's complex and ever-changing schedule
- Arrange and prioritize meetings involving multiple departments and stakeholders
- Ensure optimal allocation of time in alignment with business goals
- Proactively identify and resolve potential scheduling conflicts
- Cross-Functional & Consultant Coordination
- Serve as the central liaison between the CXO and internal teams
- Manage coordination with external consultants such as architects, engineering consultants, and agencies
- Monitor deliverables, timelines, and interdependencies among stakeholders
- Facilitate smooth communication flow
- Meeting & Communication Management
- Organize and coordinate meetings
- Prepare meeting agendas and relevant materials
- Record meeting minutes and track assigned action items
- Follow up with involved stakeholders as needed
- Project Tracking & Execution Support
- Track the progress of key projects
- Maintain detailed trackers for deliverables and approvals
- Identify and report delays and potential risks
- Assist with coordination for reviews and project milestones
- Administrative & Operational Support
- Manage travel arrangements and logistical support
- Handle correspondence efficiently
- Maintain confidentiality of sensitive information
- Support preparation of reports and dashboards

Preferred Qualifications
- Bachelor's degree in Business Administration or a related field
- 3 to 6 years of relevant experience
- Experience in real estate or construction is preferred
- Familiarity with working alongside consultants and agencies
- Proficiency in MS Office and Google Workspace
