Summary
The receptionist at St Thomas Aquinas welcomes and greets all people who interact with the parish office in person, on the phone, and via e-mail. They provide administrative support functions as required for pastor, staff or ministries as needed. This is a full-time benefit eligible position.
Essential Duties and Responsibilities
- Oversees the timely opening and secure closing of the parish office daily. Ensures that all machines are off, answering service is on, lights and heat are off, doors locked, etc.
- Greet and welcome visitors, who come into the parish office and ensure they are directed to the correct person for their needs
- Answer and direct phone call ls to the appropriate personnel or parish organization/ministry
- Answers / responds to all e-mails directed to the parish office
- Makes appointments for the Pastor/Associate Pastor on Google Calendar for house blessings, anointings, and personal confession times
- Handles incoming and outgoing mail and packages, sort and distribute mail to office boxes
- Opens daily cashbox and is responsible for properly recording candle and church merchandise for sale, closing the box on Friday and transferring funds to the safe.
- Offers registration paperwork to new parishioners or forms for updates to registered parishioners accounts
- Assists with copy work, typing services and general clerical support as needed
- Prepares secure collection offering for Sunday, special Masses and events
- Records Mass intentions & receives Mass stipends and mails cards as requested
- Manage lost and found by logging al I things found in church and parish ha! I
- Assists parish staff with transportation arrangements
- Updates and maintains prayer requests list
- Records priest visits in Sick Call Registry
- Coordinate volunteers as needed for events
- Manages religious items for blessings
- Creates work order requests based on notifications from parishioners
- Keep the reception area clean and organized
- Hands out community resource sheet for people of need, including transferring calls to S.T.O.P. (St. Thomas Outreach Program) and Catholic Charities
- Assists the Pastor, Associate Pastor, and Religious Education Director, and Youth Director with various projects
- Other duties as assigned
Requirements
Education and Experience
- High School or GED education required
- Bilingual language skill (Spanish & English) is preferred
- Experience with MS Word is required, MS Excel, MS Publishing & Power Point is preferred
- Previous office experience required
- Ability to communicate verbally and in writing with guests and visitors required
- Ability to quickly grasp the parish office functions is required
- Ability to maintain confidentiality in all matters is required
- Strong interpersonal communication skills with diverse populations required
- Experience working with the public is required
