About the role
Description
Key Responsibilities
Reception & Office Support
- Greet residents, visitors, and staff in a professional and welcoming manner
- Answer and route incoming phone calls
- Receive, sort, and distribute mail
- Operate office equipment (copier, scanner, etc.)
- Provide general clerical support such as typing, filing, copying, scanning, and assembling packets
Administrative Support
- Assist the Executive Director and managers with scheduling, correspondence, filing, and projects
- Prepare and mail resident billing and trust statements
- Help maintain admission, tour, policy, and compliance materials
- Support audits and special projects as needed
Cash & Resident Trust
- Accept and receipt payments
- Manage petty cash and resident trust funds accurately
- Post daily charges to resident trust accounts
Accounts Payable
- Process invoices, verify approvals, and code expenses correctly
- Maintain vendor records (W-9s, 1099s, insurance documents)
- Prepare and issue payments (checks, electronic payments, credit cards)
- Reconcile accounts payable reports and assist with month-end reporting
- Follow internal controls to ensure accuracy and prevent errors or fraud
Cross-Training
- Share duties and assist with payroll, human resources, and accounts receivable as needed
Requirements
Qualifications
Education & Experience
- High school diploma or equivalent
- At least 1 year of administrative or accounting-related experience, or completion of a related program
Skills
- Strong attention to detail and organization
- Ability to maintain confidentiality
- Professional communication and customer service skills
- Able and comfortable working in Microsoft Word, Outlook, and basic Excel
Work Environment & Physical Requirements
- Office-based role with frequent interruptions
- Sedentary work with occasional lifting up to 25 lbs
- Ability to sit, stand, walk, and use a computer and adding machine for most of the workday
- Ability to interact professionally with residents, families, staff, and visitors
- May assist with emergency procedures when necessary
