Facility Support
JOB DESCRIPTION
- Lead the facility management professionals, including technicians, operation, HSE staff, fostering high performance culture
- Overseeing day-to-day operations including cafeteria, transportation, stationery, seat management.
- Managing maintenance schedule & ensuring functionality & safety of building systems like HVAC, Electrical, solar panels, plumbing, fire safety)
- Planning, executing, and closing facility-related projects (factory re-layout, installation of solar panels, change in transport vendor, cafeteria vendor,) within budget & timeline
- Optimizing space utilization, managing office movements & reconfigurations, ensuring compliance with space standards
- Controlling costs & identifying cost savings opportunities, processing invoices & managing on-time vendor payments.
- Cafeteria services: Support with onboarding new vendor, preparing SOW, KPIs, feedback mechanism, food book app.
- Part of cultural committee that supports in employee engagement activities Pan India, managing this budget
- Induction for new joinee’s on Travel, cab hire and Facilities & Admin support.
- Support with various audits: Travel, cafeteria, transportation, HSE.
- Support in setting up the new factory right from ground-breaking to space layout to branding.
- Branding: Worked closely with Global Real Estate on branding across the premises as per Global Honeywell norms.
- Interfacing & coordinating with travel desk for domestic & international travel requests for all entities in India.
- Overseeing significant travel budgets & driving cost saving initiatives.
- Building & maintaining strategic partnership with key travel suppliers
- Creating & enforcing comprehensive travel policies & ensuring compliance
- Leading the adoption & improvement of travel technology solutions
- Work closely with Security to track employees & bring them back in case of an accident / hospitalization / stranded at airport.
- Work with Forex vendor on disbursement of foreign currencies & settlement of expenses.
- Travel insurance: Negotiate with insurance vendor, provide end-to-end support to employees on travel & health insurance.
- Worked closely with Sourcing on vendor selection, rate negotiation, SOW for spot rental cabs, bringing in cost savings of more than a lac in 6 months’ time frame.
- Started Employee transportation for 18 routes, this has reduced parking – thereby reducing carbon footprint.
- On time Vendor payment, escalations support, prepare policy, guidelines for hired cabs & employee transportation.
- Security with women travelers who travel late night.
- Implementing & enforcing safety protocols & regulations, Managing security systems & personnel. Ensuring compliance with environmental regulations.
- Green initiative & carbon neutral support: Stopped paper cups Pan India & implemented SS glasses, ceramic cups, bring your own mugs & water bottles.
- Part of India Crisis Management team
- No plastic in the premises – replaced plastic with wooden stirrers, straws.
- Support in providing transport services for 18 routes, which has reduced personal vehicles on roads, there-by reducing carbon footprint.
- Support with audits ISO 14001 & ISO 9001

- Supported the vendor selection process by working closely with Sourcing in getting new vendors for Cafeteria, Employee Transportation, On call cabs, Forex
- Support in preparing a detailed scope of work for the requirement
- Developing vendor performance reports, tracking on-time delivery, quality metrics & adherence to contract terms

- Develop and implement long-term strategies for facilities maintenance, aligning them with the organization's goals and objectives
- Create, oversee, and optimize budgets for maintenance activities, seeking cost-effective solutions while maintaining high facility standards
- Manage and maintain an inventory of facility assets, planning for replacements or upgrades as needed, and ensuring the organization's assets are well-maintained
- Ensure that all facilities meet safety, environmental, and regulatory requirements, manage permits and certifications, and stay informed about industry standards
- Collaborate with external vendors and contractors for specialized maintenance services, negotiating contracts, and ensuring compliance with established service levels
- Implement energy-saving practices and sustainable initiatives to reduce operational costs and environmental impact
- Conduct regular inspections, quality assessments, and performance evaluations to ensure that maintenance work meets established standards
- Develop and maintain comprehensive emergency response plans for facility-related incidents, including power outages, natural disasters, or other crises
- Collaborate with various internal departments, senior management, and external stakeholders to understand their facility needs and provide timely updates on maintenance initiatives
- Stay current with industry trends and emerging technologies to drive continuous improvement in facilities maintenance practices
Qualifications
YOU MUST HAVE
- Bachelor’s degree from an accredited institution in a technical discipline such as science, technology, engineering, mathematics
- Minimum of 5+ years of experience in facilities maintenance
- Strong knowledge of building systems and equipment
- Proven leadership and management skills
- Experience with budget management
