JOB SUMMARY:
We are seeking a dedicated individual to provide essential office support, which includes sorting and delivering mail, managing office supplies, handling boxes and office furniture, and performing general facility maintenance. This role also involves delivering exceptional customer service both over the phone and in person.

 

Key Responsibilities:

  • Receive and pick up mail, interoffice envelopes, and boxes of varying sizes, with weights up to 50 lbs.
  • Process inbound and outbound U.S. Mail, FedEx, UPS, and other courier services efficiently.
  • Handle pouch mail destined for all Firm locations.
  • Utilize computer software to manage inbound and outbound mail and packages, track and manage the Firm's assets, input and manage service requests, and monitor floor plans.
  •  Deliver and pick up items, either independently or as part of a team, within the office. Team deliveries/pick-ups may involve items weighing up to 250 lbs., while individual deliveries/pick-ups may weigh up to 50 lbs.
  • Set up conference rooms with the appropriate furniture and equipment to ensure readiness for meetings.
  • Clean and prepare conference rooms to meet standards prior to scheduled meetings.
  • Defrost refrigerators and maintain cleanliness in the pantry and pantry equipment (e.g., microwave ovens).
  • Stock and replenish office supplies to ensure availability.
  • Dust, clean, restock, and organize copy and fax machines and network printers.
  • Maintain cleanliness by removing trash and supplying kitchens, copy rooms, and conference rooms, using appropriate cleaning materials and chemicals.
  • Monitor the Firm's facilities and equipment, reporting defects related to equipment performance, lighting, water leaks, and general maintenance needs.
  • Assist with maintenance functions as necessary.
  • Carry out preventative maintenance tasks, including but not limited to sweeping, vacuuming, polishing wood, metal, and stone, shampooing furniture and carpets, and cleaning walls and doors.
  • Perform recycling functions to promote sustainability.
  • Install pictures, signs, and bulletin boards using the appropriate tools.
  • Maintain supply areas and conduct regularly scheduled inventory checks.
  • Dispatch work requests to ensure a consistent workflow and timely completion of tasks.
  • Receive and process copy and print requests from legal and professional staff, ensuring quality control for all work. Assemble print and copy jobs using binding machines and materials.
  • Coordinate with the records management department for processing records requests, as well as liaising with suppliers for records retrieval and pick-up as needed.
  • Demonstrate effective interpersonal, written, and verbal communication skills to foster productive work relationships.
  • Liaise with the building’s management team for necessary coordination of services and suppliers.
  • Manage Firm resources responsibly and in accordance with operational policies and procedures.
  • Undertake other related duties as assigned.

  • Ability to work effectively under pressure
  • Ability to learn and apply safe lifting techniques and the safe use of moving equipment and tools
  • Knowledge of relevant Firm computer software programs (e.g., Word, Outlook, Excel, PowerPoint, Computer Aided Facility Management (CAFM) system), with a willingness to learn new software and operating systems
  • Ability to read, interpret, and follow instructions accurately
  • Ability to read and interpret floor plans
  • Ability to take direction and instruction from outsourced supervisory business services professionals
  • Demonstrate effective interpersonal and communication skills, both verbally and in writing
